Job purpose

The Office Administrator will provide high-level administrative support to GAUK. This role involves managing day-to-day administrative tasks and ensuring seamless operational support. The employee will be a highly organised, proactive individual with excellent communication and coordination skills, and the ability to maintain confidentiality.

Main responsibilities

Administrative Support

  • Manage the General Manager’s schedule, meetings, correspondence, documentation and day-to-day office administration.

Office & Front-of-House Coordination

  • Act as a first point of contact for visitors, deliveries, calls and general enquiries, ensuring a professional and welcoming office environment.

Cross-Functional Coordination

  • Work with different departments to support communication, document management, data entry and the resolution of operational issues.

Procurement & Supplier Management

  • Manage office supplies and equipment procurement, maintain inventory levels and coordinate with vendors and suppliers to ensure timely and cost-effective delivery.

Travel & Expense Management

  • Arrange business travel, accommodation and related expenses for the General Manager and support wider business travel requirements.

Task & Action Management

  • Monitor and follow up on action items, ensuring deadlines are met and proactively addressing potential issues that could affect workflow.

Reports & Document Preparation

  • Prepare reports, presentations and business documents while maintaining accurate, organised and accessible company records.

Confidentiality & Compliance

  • Handle confidential and sensitive information with discretion while ensuring activities follow company policies, procedures and ethical standards.

Office Events & Process Improvement

  • Support employee engagement events and contribute to the continuous improvement of office administration processes to improve efficiency and consistency.

Education, Skills and Personal characteristics required

  • Minimum 3 years’ experience in an administrative role, preferably supporting senior management within a similar industry.
  • Level 3 or higher qualification in Business Administration is desirable but not essential, depending on experience.
