In-house Shipping Company in London

The ideal candidate will be someone who is both positive & professional as well as proactive, loyal and discreet. Someone well-organised and efficient with a keen eye for detail and the ability to occasionally support the administrative needs of the Shipping Team and the requirements of the owning family. The team need an individual with a great work ethic & a humble attitude towards the many varied duties they may be asked to carry out.

POSITION REQUIREMENTS

  • Oversee and coordinate all office administrative activities and operations, ensuring smooth day-to-day office operations and compliance with company procedures.
  • Manage the reception area including welcoming guests, answering phone calls and handling all company correspondence
  • Manage office supplies inventory and orders, as well as supplier contracts and service agreements with office vendors, ensuring cost efficiency, timely renewals and uninterrupted service.
  • Coordinate meetings, catering requirements, travel arrangements and accommodation bookings.
  • Serve as the main point of contact for organising health & safety audits and liaise with building management, ensuring compliance and effective management of building related matters
  • Support onboarding activities of new hires and interns
  • Process invoices in SAP and keep track of payments
  • Act as the primary point of contact for office related service requests and IT related issues, coordinating maintenance activities and emergency issues.
  • Manage and maintain industry subscriptions, ensuring accurate account information, timely/negotiated renewals, and uninterrupted service

CANDIDATE PROFILE

  • Previous experience in a similar role, supporting various functions, in a well-established and organised office/company
  • A University degree will be considered an asset
  • Fluency in both written and verbal communication in English
  • Proficient in Microsoft Office
  • Flexible and effective time management and ability to prioritise tasks and meet deadlines
  • Strong organisational skills
  • Attention to detail and problem-solving skills
  • Excellent communication and interpersonal skills, and the ability to network effectively with a wide range of people on every level
  • Self-motivated and trustworthy
  • Ability to learn on the job and adapt to changes
