Role Overview

We're looking for an organised and reliable Office Administrator to support the smooth day-to-day running of Henri-Lloyd in Manchester. You'll provide hands-on administrative support across customer service, apparel product development, finance and the wider office, helping colleagues keep information accurate and tasks on track.

This role would suit someone who enjoys varied, hands-on administration and is looking for a long-term position as a valued part of the team. You'll take pride in keeping things organised, following tasks through and being someone colleagues can rely on for support across the business.

Key Responsibilities

Customer Service

  • Respond to customer enquiries via email, phone and/or live chat promptly and professionally
  • Process orders, returns and refunds in line with company procedures
  • Maintain accurate customer records and update the CRM system
  • Escalate complex issues to the relevant team or manager and keep customers updated
  • Help monitor customer satisfaction and flag recurring issues or trends

Apparel Product Development

  • Receiving, sorting and distributing post, as well as sending parcels/documents where required
  • Purchasing and returning competitor samples and keeping a record of these
  • Keeping the showroom organised, preparing samples for meetings and ensuring it is maintained to a good standard
  • Collecting and preparing samples and any other items required ahead of meetings
  • Managing online files and folders, maintaining physical files within the office, and helping to keep our product development records organised
  • Taking notes during fit meetings and recording agreed comments/actions for the team to follow up

Finance Administration

  • Assist with processing invoices, expenses and purchase orders using agreed procedures
  • Support bookkeeping data entry using agreed processes, under the finance team's guidance
  • Help reconcile statements and flag discrepancies for the finance team to review
  • Help prepare simple financial reports using agreed templates for the finance team to review
  • Support the finance team with month-end administrative tasks

General Office Support

  • Help keep the office running smoothly and suggest improvements to routine administration
  • Manage incoming post, deliveries, and general office supplies
  • Provide administrative support across departments, with priorities agreed by your line manager
  • Assist with organising meetings, filing, and document management
  • Maintain task lists, follow up outstanding actions and flag conflicting deadlines to your line manager

Person Specification

Essential

  • Previous experience delivering accurate administration in an office or transferable support role
  • Strong organisational skills, accuracy and attention to detail
  • Good time management, with the ability to prioritise tasks, meet deadlines and flag conflicts early
  • Clear, professional written and verbal communication with customers, suppliers and colleagues
  • Confident using Microsoft Office / Company Systems / Excel
  • Proactive and resourceful, able to follow tasks through independently and learn new systems
  • Reliable and trustworthy, with a careful approach to confidential customer and financial data
  • Enjoys working in a broad administrative support role, with a focus on accuracy, organisation and making day-to-day life easier for the team

Desirable

  • Previous customer service or retail experience
  • Interest in fashion, apparel, or product development
  • Basic understanding of bookkeeping or finance processes
  • Experience with CRM, ERP, PLM, or accounting software (e.g. Xero, QuickBooks)
