Office Administrator – Bids, Operations & SHEQ
London | £42,000–£50,000 + benefits | Permanent | Hybrid (3–4 days office-based)
Are you an experienced administrator who enjoys being at the heart of a busy, collaborative office? Do you have excellent organisational skills, commercial awareness, and a real eye for detail?
We are working with a leading engineering consultancy, to recruit an experienced Office Administrator to support their London team. This is a varied and important role, providing operational, administrative, and commercial support to the Regional Director and wider office.
This is an excellent opportunity for someone who wants more than a traditional administration role. You will have exposure to bid and proposal activity, commercial administration, and SHEQ/quality compliance, while playing a key role in keeping the London office running efficiently.
The role
Working closely with the Regional Director and wider team, you will take ownership of a broad range of office, administrative, and coordination responsibilities, including:
- Providing proactive administrative and operational support to the Regional Director and wider team.
- Coordinating workflows, priorities, and deadlines across the office.
- Supporting bid and tender submissions, ensuring responses are accurate, compliant, and delivered on time.
- Assisting with the preparation of fee letters, proposals, and client-facing documentation.
- Maintaining proposal templates, standard tender content, CVs, and team experience information.
- Supporting technical teams with the administrative and written components of strategic bids.
- Ensuring bid documentation and project scopes meet relevant internal and legal requirements.
- Coordinating with offshore administration support teams and ensuring work is delivered effectively.
- Supporting the administration and maintenance of management systems and processes.
- Coordinating SHEQ/IMS activities, records, inspections, training, and reporting.
- Supporting internal and external audits and maintaining accurate compliance documentation.
- Tracking actions and supporting continuous improvement initiatives.
- Coordinating meetings, training, inductions, and office-level SHEQ activities.
- Working closely with Finance, HR, Legal, SHEQ, and project teams.
- Identifying opportunities to improve processes and make the office more efficient.
- Providing general administrative support wherever required to ensure the smooth running of the London office.

About you
We're looking for an experienced and mature-minded administrator who is comfortable working in a fast-paced professional environment and can confidently manage competing priorities.
You will ideally have:
- 5+ years' administration experience in a professional services, engineering, consultancy, financial services, or similar environment.
- Excellent organisational skills and strong attention to detail.
- Outstanding written and verbal communication skills.
- The confidence to work with senior stakeholders and technical professionals.
- Strong commercial awareness and a good eye for financial detail.
- Experience supporting bids, tenders, or proposals – highly desirable.
- Experience with SHEQ, QMS, IMS, or ISO compliance – highly desirable.
- Exposure to internal or external audits would be advantageous.
- Experience coordinating or managing offshore/remote administration support would be beneficial.
- The ability to work independently, take ownership, and use initiative.
- The flexibility and maturity to understand that occasionally deadlines may require additional time or support.

You don't need to be a SHEQ specialist – training can be provided – but previous exposure to quality, compliance, auditing, or management systems would be a real advantage.
Equally, experience in bids and proposals is highly desirable, particularly if you have worked within an engineering, construction, professional services, or consultancy environment.
The opportunity

Salary: £42,000–£50,000 + benefits
