About the Role
We are looking for a friendly, organised individual to join our office team. You will be the face of the company, liaising with customers, responding to enquiries, answering calls to new and existing customers, resolving issues if they arise. Checking progress of work ensuring customers are given the best customer experience.
What You'll Do at Work
- You will see work through from the initial call to the end of the job, collecting feedback at the end of jobs from customers as well as supporting the directors to run the business smoothly.
- You will need to be confident in speaking on the phone with customers in a friendly and professional manner.
- You must be confident in dealing with urgent situations and prioritising customers and jobs.
- You will need to be organised and able to work under a little pressure.
- To help manage the team of plumbing and heating engineers, organising and managing the diary and appointments and following up on leads.
- Looking at work flow, ensuring engineers have what they need and the routes of their days are planned accurately and efficiently.
- Computer knowledge and experience is crucial in the role as you will be working with a computer system to book appointments, manage the engineers diaries, create quotations and use our company systems.
- You will work alongside a team of plumbing and heating engineers and be supported by our office administrators and the directors of the business in the office.
- A customer service / sales background would be preferable however training will be given.
- There is opportunity for more responsibility and growth within the company as the company expands.

What You'll Learn
Course contents
- Receive, retrieve, process, record and store information and data.
- Operate within organisational policies, standards and procedures and relevant legislation respecting confidentiality; adapting to operational changes as they occur.
- Use software packages and tools for example AI or automation to input and process data and information, to contribute to routine administration tasks in line with organisational policies and procedures.
- Handle and communicate information in line with organisational policies, procedures and security requirements.
- Recognise and rectify issues and escalate as required. For example stakeholder documents and reports, safeguarding concerns or abusive behaviour.
- Plan and review administration tasks allocated by supervisor.
- Maintain professional relationships with stakeholders.
- Monitor and report on the use of resources such as materials, equipment and supplies.
- Use agreed organisational systems and protocols to manage calendars, diaries and booking systems.
- Source information as requested by stakeholders, ensuring they are shareable. As examples client records, signpost to services or reports.
- Use continuing professional development including self-reflection to support current and future training and development needs.
- Use communication tools to respond to stakeholders using professional language and organisational etiquette.
- Operate within agreed health and safety standards.
- Use time management tools to meet deadlines.
- Handle feedback following expected professional etiquette.
- Maintain wellbeing, accessing organisational support mechanisms if required.
- Review and check own work.
- Use cloud services to share documents for use and or collaboration.
- Protect against security threats for example, strong passwords, two step verification, office tailgating and display of security passes or clothing that identifies secure workplaces.
- Seek clarification and help, when required, to complete assigned tasks within agreed timeframes.

- GCSE in:

Applicants will be expected to have researched how they will get to and from work taking into account access to own transport or public transport and the associated costs.
Pay
The National Minimum Wage for Apprentices is £8.00 per hour as of 1st of April 2026. This rate applies to apprentices under 19 and those aged 19 or over who are in their first year.
Apprentices must be paid at least the minimum wage rate for their age if they are aged 19 or over and have completed their first year. The minimum wage rates are currently £10.85 an hour for 18-20 year olds; £12.71 for anyone aged 21 and over.
For apprentices aged 19 or over, once you reach the 2nd year of your apprenticeship you will be entitled to the national minimum wage for your age group.
