About the Role

We are looking for a highly organised and proactive Office Administrator to ensure the smooth day-to-day running of our Head Office locations. This role plays a key part in delivering an exceptional workplace experience for employees, visitors and contractors while supporting the wider Property team with facilities management, administration and health & safety activities.

Based across three neighbouring offices on Eversholt Street (Phase Eight, Whistles and Hobbs), you'll manage a varied workload, balancing front-of-house responsibilities, facilities coordination, property administration and compliance. Using strong planning and diary management skills, you'll develop a monthly schedule that supports the needs of each office and communicate your whereabouts to key stakeholders.

This is a fully office-based role, Monday to Friday.

What you'll be doing:

  • Oversee the day-to-day running of three central London office locations, ensuring a welcoming, organised and efficient environment for employees, visitors and contractors.
  • Act as the main point of contact for office operations, facilities management, building management teams, contractors and service providers.
  • Manage front-of-house activities, including visitor management, office access passes, meeting room support, post and deliveries, and the supply of office consumables, stationery and refreshments.
  • Coordinate planned and reactive maintenance works, liaising with contractors, scheduling repairs, supervising works on-site and communicating any impact to colleagues.
  • Support the Property team with administrative tasks, including purchase orders, invoices, contractor coordination and project-related ordering for store openings, relocations and refurbishments.
  • Ensure high standards of workplace presentation, cleanliness and functionality across all office locations.
  • Take ownership of office Health & Safety compliance, including risk assessments, fire marshal responsibilities, contractor compliance, certification management and the coordination of required safety works.
  • Arrange and oversee minor office repairs and maintenance requirements, ensuring issues are resolved quickly and efficiently.
  • Support facilities management matters across both head office and retail locations as required.
  • Build strong working relationships with internal stakeholders and external partners to ensure the smooth operation of all office facilities.

  • Previous experience in an Office Administration, Office Coordinator, Facilities Coordinator or similar role.
  • Excellent organisational and time management skills with the ability to prioritise competing demands.
  • Strong communication and stakeholder management skills.
  • Confident coordinating contractors, suppliers and service providers.
  • Good administrative skills with strong attention to detail.
  • Ability to work independently and manage multiple locations effectively.
  • Proficient in Microsoft Office applications.
  • Knowledge of facilities management, property administration or health & safety processes would be advantageous.
  • A proactive, hands-on approach with a positive and flexible attitude.
