We at Coforge are looking for an Office Administrator in London, UK.
Role Overview
Reception Management
- Manage meeting room bookings and setups.
- Liaise directly with stakeholders regarding any changes to bookings and ensure all requirements are met, including lunches, snacks, and refreshments.
- Book UK and international couriers and taxis as required.
- Code monthly courier invoices per consignment and forward them to the FM/Admin Head.
- Email important announcements to all staff based at the London office.
- Reconcile the Reception monthly credit card spend and submit it to the FM/Admin Head for approval.
- Maintain and update the Reception Bible for temporary cover, ensuring all relevant supplier contact details, login credentials, and booking processes are readily available.

Office Management
- Monitor office supply stock levels and place orders when required.
- Manage staff welfare supplies, ensuring adequate stock levels and arranging daily/weekly replenishment as needed.
- Create Purchase Requisitions (PRs) in SAP for new purchases.
- Raise Goods Receipt Notes (GRNs) for invoices related to the London office.
- Reconcile the Reception monthly credit card spend and forward it to the FM/Admin Head for approval.
Vendor Management
- Supervise housekeeping staff and liaise with the cleaning vendor manager as required.
- Arrange emergency maintenance callouts when necessary.
- Coordinate and facilitate site access for maintenance and service providers.

Events & Employee Engagement
- Collaborate with stakeholders and the FM/Admin Head to organize and support company events and celebrations.
- Support activities related to public holidays, festivals, and employee engagement initiatives.
New Joiner Support
- Conduct Health & Safety (H&S) inductions for all new starters based at the London office.
- Set up new starter credentials and update relevant systems in coordination with the FM/Admin Head.
