Role Overview
The Office Administrator is responsible for the smooth day-to-day running of the office, including office administration, reception, facilities coordination, and general operational support. The role will work closely with the Managing Director and support the wider office as required.
Key Responsibilities
- Manage the day-to-day administration and smooth operation of the office.
- Manage the reception area, including welcoming visitors, handling incoming calls, and coordinating meetings.
- Provide administrative and general support to the Managing Director.
- Complete ad hoc tasks, projects, and assignments requested by the Managing Director.
- Coordinate office supplies, stationery, equipment, and other office requirements.
- Liaise with building management, suppliers, contractors, and service providers as required.
- Coordinate meeting rooms, internal meetings, and office-related arrangements.
- Support business travel arrangements, accommodation, transportation, and related logistics when required.
- Maintain accurate office records, documentation, filing systems, and administrative trackers.
- Coordinate office events, staff activities, and other internal initiatives.
- Ensure the office environment is professional, organized, safe, and well maintained.
- Process and track office-related invoices and expenses and coordinate with Finance as required.
- Manage courier services, deliveries, incoming and outgoing correspondence, and other office logistics.
- Support procurement and coordination of office-related services and supplies.
- Maintain confidentiality when handling management and company information.
- Perform any other reasonable duties or projects assigned by the Managing Director.

- Previous experience in office administration, reception, executive support, or a similar role.
- Strong organizational and time-management skills.
- Professional communication and interpersonal skills.
- Ability to manage multiple priorities and work independently.
- Strong attention to detail and a proactive approach.
- Good knowledge of Microsoft Office and general administrative systems.
- Comfortable working closely with senior management and across different functions.
