Company Description

Preston Grasshoppers RFC is a rugby and sports club based in modern premises that offer flexible conference and function facilities just minutes from the M6, with ample free parking. Set within 30 acres of grounds, the club provides excellent views and a peaceful, secure environment for a wide range of events.

Multiple rooms can accommodate AGMs, conferences, board meetings, gala dinners, celebrations, cocktail receptions, and awards ceremonies for up to 200 guests. Each space is equipped with Wi-Fi and audio-visual technology, supported by catering.

Role Description

The Office Administrator is a part-time role - 9.00am - 3.00pm (six hours per day) Monday to Friday, on-site based in Preston, responsible for ensuring the smooth day-to-day running of the club’s administrative operations, in particular dealing with room hire enquiries. This position manages reception duties, responds to telephone and email enquiries, and provides professional front-of-house support for visitors, members, and event clients. The role includes maintaining accurate records, updating booking systems and calendars, preparing invoices and basic financial documentation, and organising files and office supplies.

The Office Administrator coordinates meeting and event logistics with the conferencing team, supports internal communication across departments, and assists with preparing documents, reports, and correspondence. The role also involves liaising with suppliers, supporting general office maintenance processes, and contributing to a positive, customer-focused environment.

Qualifications

  • Strong administrative and organisational skills, including experience with scheduling, record-keeping, and maintaining filing systems.
  • Proficiency with office software (e.g., email, spreadsheets, word processing) and comfort working with booking or CRM systems.
  • Effective communication skills, with a professional telephone manner and the ability to respond clearly and courteously to enquiries.
  • Customer service experience, ideally in hospitality, events, sports, or a similar venue-based environment.
  • Ability to manage multiple tasks, prioritise workload, and work accurately under time constraints.
  • Attention to detail when handling documentation, bookings, and basic financial or invoicing processes.
  • Ability to work collaboratively with colleagues and independently with minimal supervision.
  • Previous experience in an office administration, receptionist, or coordinator role is highly desirable.
  • Basic understanding of health and safety and confidentiality requirements in a public venue setting.
  • Flexibility to support occasional evening or weekend events as required by club activities.

Duties

  • Manage all phone call enquiries and direct them to the appropriate person.
  • Manage the info@pgrfc.co.uk email account and direct enquiries to the appropriate person/contact at Preston Grasshoppers.
  • To manage the Club’s busy booking system for both corporate and private events including weddings, funeral wakes, parties, balls, corporate training and board meetings – from initial enquiry to arrangements, confirmation of booking and invoicing, working closely with the hospitality manager and finance manager to complete the bookings.
  • Managing enquiries and bookings for Preston Grasshoppers events including match day hospitality.
  • Supporting the hospitality manager and marketing officer with planning and implementing Hoppers events including the annual Hopfest Beer and Gin festival, and Bonfire night.
  • Dealing with IT issues associated with office management.
  • Minuting and providing actions from weekly operational meetings.
  • Assisting in the setup and arrangements of weekday daytime bookings and regular daytime activities.
  • Other administrative duties as required, based on helping to manage a busy office environment.
