We are looking for an experienced, capable, and highly organised Office Administrator / PA to join our small, busy team.
We are an industrial cleaning company, working in a fast-paced environment where priorities can change quickly. Our office can get extremely busy, so we need someone who is confident, adaptable and able to move from one task to another without getting flustered.
This is a varied role and would suit someone who enjoys being busy, takes initiative and is happy to help with whatever needs doing to keep the office running smoothly.
The Role
Your duties will include (but are not limited to):
- Answering incoming telephone calls and dealing with enquiries professionally
- Speaking with clients and building good working relationships
- Liaising with our cleaning staff and teams out on site
- General office administration and day-to-day organisation
- Using Excel extensively – strong Excel skills are essential
- Preparing and updating spreadsheets, records and other documentation
- Email correspondence and general computer-based work
- PA duties and assisting management with day-to-day tasks
- Contacting prospective/new clients
- Following up enquiries and making outbound calls
- Helping coordinate staff and jobs
- Dealing with last-minute changes and urgent requests
- Keeping information and paperwork organised and up to date
- Supporting other members of the team when required
- General problem-solving and helping wherever needed

As we are a small office, this is not a role where you will have one set list of duties every day. Everyone helps each other, and we are looking for someone with the same attitude. You may be working on a spreadsheet one minute, speaking to a client the next, helping organise staff and then dealing with something completely unexpected.
What We’re Looking For
Previous office experience is essential.
The right person will be:
- Highly experienced and confident working in an office environment
- Excellent with Excel
- Confident using computers and learning different systems
- Professional and confident on the telephone
- Comfortable speaking with both clients and staff
- Able to make outbound calls to prospective clients
- Extremely organised with good attention to detail
- Able to prioritise their own workload
- Flexible and able to switch between different tasks quickly
- Calm and capable when the office gets very busy
- Reliable and trustworthy
- A good communicator
- Proactive – someone who sees what needs doing and gets on with it
- Happy to work as part of a small team and help wherever required

About Us
We are a busy industrial cleaning company, providing cleaning services to commercial and industrial clients for over 26 years.
Our work can be fast-moving, with staff, clients, schedules and priorities changing throughout the day. Because of this, our office team plays a vital part in keeping everything organised and making sure our clients and staff receive a professional and reliable service.
We are looking for someone who wants to become an important part of the team rather than simply come in and complete a set list of administrative tasks.
