Role Description
The Part-time (0.4FTE) Office Administrator is responsible for maintaining a professional, organised and welcoming office environment. The role provides practical office, facilities, supplier and administrative support, acting as a key point of contact for employees, visitors, contractors and service providers. The role ensures day-to-day office operations run smoothly and that routine office administration is managed consistently.
Responsibilities
- Manage office supplies and kitchen stock, monitoring inventory and arranging replenishment within budget.
- Maintain the organisation, appearance, and functionality of office facilities, meeting rooms, and communal areas.
- Act as the primary contact for office suppliers, service providers, contractors, and utilities.
- Coordinate maintenance activities, contractor visits, facilities requests, and office improvement projects.
- Support incoming and outgoing post, deliveries, couriers, and general office administration.
- Provide a professional first point of contact for visitors, contractors, and employees, including meeting room and visitor arrangements.
- Assist with health and safety administration, including record keeping, training coordination, risk assessments, and audit support.
- Maintain office records, supplier information, company vehicle documentation, and support office-related purchasing processes.
- Assist with organising office events, employee engagement activities, lunches, and virtual meetings.
- Provide general administrative support across departments, including light HR support such as interview arrangements, visitor coordination, and document filing.

Qualifications
- Previous office administration, reception, facilities or business support experience preferred.
- Strong organisation and time management skills.
- Professional, helpful and approachable communication style.
- Ability to manage suppliers, contractors and routine office queries confidently.
- Good attention to detail and accurate record keeping.
