Office Administrator/ Receptionist in London

As Office Administrator/ Receptionist, you will be responsible for representing the company to clients, general care and maintenance of the office, as well as supporting the Leadership Team in administration tasks.

Responsibilities

  • Represent the company; meet and greet all visitors, and offer refreshments. Make sure the reception area (your desk/seating area/ kitchen etc.) always looks great.
  • Travel Management: book travel arrangements for all staff based on company Travel Policy and rules.
  • Event Management:
    • Lead the planning of company events and their execution.
    • Research/book external meeting venues if/when needed.
  • Office Management:
    • Arrange catering for daily employee lunches, client meetings, and board meetings.
    • Provide support to property management and maintenance teams.
    • Order kitchen supplies, and stationery, maintain a constant supply level.
    • Support IT with a seating plan every week when visitors are announced.
    • Set up and clear meeting rooms before and after each meeting.
  • Reception: Act as the first point of all contact.
    • Answer the phone and intercom promptly.
    • Book and manage meeting rooms and conference calls.
    • Manage and distribute postage and packages.
    • Book cabs and couriers when needed. Provide suggestions for local amenities if need be.
    • General admin to support the Leadership Team, i.e. administration of expenses for the Board of Directors.
