Thursley, Surrey - On-site (full time, permanent)
This is a hands-on, fully office-based Office Administrator role responsible for overseeing the day-to-day running, organisation, and presentation of the workplace.
Sitting at the centre of the business, the role combines office coordination and administrative support to the HR, Facilities, and IT Functions.
Key Responsibilities:
Office Administration
- Oversee the day-to-day running of the office, ensuring it is clean, organised, safe, and operating efficiently.
- Maintain high standards across all office areas ensuring the workplace is consistently professional and visitor ready.
- Manage office supplies, stationery, post, couriers, and support goods-in processes.
- Support the planning and coordination of planned and reactive maintenance, working with external contractors where required.
- Support with the coordination of service providers including cleaners.
- Take ownership of office presentation, standards, and organisation, proactively addressing issues.
- Act as the first point of contact for visitors, phone calls, and emails, ensuring a professional and welcoming experience.
- Coordinate on-site meetings and events, including catering, room setup, greeting guests, and post-meeting clear-down and hosting.
- Help coordinate day-to-day office activity, avoiding clashes and ensuring smooth running and minimal disruption.
- Take a hands-on approach to office upkeep, including monitoring cleanliness, restocking supplies (e.g. kitchens and toilets), and addressing issues proactively.

HR Administration
- Support with onboarding and offboarding administration, working alongside the Head of People & Talent.
- Administration of recruitment and resourcing activities. Including supporting with and management of our Recruitment ATS, Talos.
- Ensure all employee security checks are completed and carried out to the required level, dependant on role.
Health, Safety & Compliance
- Support the health & safety processes in line with company standards and legal requirements.
- Assist with risk assessments, fire safety procedures, drills, and basic compliance activities.
- Help ensure the office remains a safe environment for employees and visitors.
Systems, Processes & Continuous Improvement
- Maintain clear, structured documentation for office procedures and standards.
- Identify opportunities to improve efficiency, organisation, and overall workplace experience.
- Support onboarding/offboarding from an office and equipment perspective.
IT & Equipment Support
- Assist with basic IT coordination, including liaising with external providers.
- Support setup and maintenance of user equipment and office systems.
- Help track and maintain office equipment and assets.
General support
- Provide ad hoc support to the executive team.
- Provide back-up admin support to CEO as required, working with the Chief of Staff.
- Support company travel bookings and logistics for staff, predominantly through 3rd party provider.
- Support internal and external communications where required.

Candidate Profile:
- Minimum 2+ years’ experience in an office administration role, or an ambitious graduate.
- Highly organised, proactive, and detail-oriented, with a strong sense of ownership and accountability.
- Able to prioritise and manage a varied workload independently, remaining calm under pressure.
- Strong communication and interpersonal skills, both written and verbal.
- Friendly, professional, and confident, acting as the face of the business.
- Discreet and trustworthy when handling confidential information.
- Proficient in Microsoft Office (Word, Excel, PowerPoint, O365).
- Takes pride in maintaining a clean, organised, and well-presented workplace.
- Basic IT knowledge (desirable).
- Full UK driving licence required.
