About the Role
We are seeking a part-time Office and Facilities Manager to join our team. Reporting to the Global People Director and collaborating with Legal, Finance and Business Solutions, you will manage offices in London, New York, Cape Town, Melbourne, Sydney, and provide support for shared spaces in other cities. Hands-on and dynamic, the role involves:
- Managing Diverse Locations: Overseeing our growing office portfolio (including London Bridge, Manchester, Southampton) alongside parts of external colocation solutions.
- Workplace and Facilities Compliance: Ensuring adherence to Health and Safety standards, office maintenance, supplier relations, and supporting operational audits. This includes compliance with ISO14001 (Environmental Management) and ISO27001 (Information Security).
- Hybrid Work Support: Managing visits, events, equipment, restocking office supplies, and supporting SECR (Company Reporting) requirements.
Key responsibilities include:
- Daily Office Operations: On-site management of day-to-day tasks including deliveries, security access for employees/visitors, and solely undertaking office cleanup/maintenance where duties apply
- Sustainability Initiatives: Actively contribute to our environmental committee and SECR reporting
- Events & Communications: Logistic readiness for external events (including onboarding offsite locations) and office arrangements
- Vendor & Supplier Coordination: Ensuring accountability for contracts, supplier quality control, and handling employee/service feedback.
- Problem Solving and Operational Efficiency: Leading projects, audits, workspace optimisations, and managing builds/reburdening moves.

As an Office and Facilities Manager, work alternates primarily between London Bridge HQ (Tuesday-Thursday) with physical visits to other sites as needed.
About You
This role suits professionals with significant experience in multi-location management, prioritizing collaboration and driving innovation. Essential qualifications:
Core Experience:
- Office and Facilities Management: Proven expertise in managing operational logistics for a team, ensuring workplace compliance, maintenance, and employee satisfaction.
- Multi-Site Global Operations: Experience coordinating facilities for employees in a cross-location, hybrid environment.
- Compliance & Risk Management: Adept in ISO27001 (additional preferred but not essential) and Health & Safety legislation. Strong knowledge of risk mitigation and environmental sustainability initiatives.
- Supplier and External Partner Management: Proven track record in managing vendor agreements, budgets, and maintaining high service standards.
- Workspace Support Operations: Knowledgeable in setting up events, onboarding invaliders, equipment management, and stakeholder communication for office coordination.
Technical & Adaptive Skills:
- Management processes and standards: Strategic experience supporting ISO14001 (preferred) and relevant compliance audit prep.
- Project Coordination: Ability to plan and implement structural/functional workplace change projects.
- Diverse Stakeholder Engagement: Capable of liaising with Legal, Finance, People Teams and third parties to resolve conflicts and foster alignment.
- Maturity in Problem Solving: Proactive and resourceful to both manage the workspace and lead key operational improvements.
Interview Process
For this role, you'll experience:
- 15-minute Screening Call with the Talent Team
- Gorilla Test (attention to detail) for expressive textual accuracy
- Interactive Zoom Interview (~1 hour) with the Global People Director
- Face-to-Face and Task (London Bridge Offices) with senior leaders + multimedia task
