Our London office is the hub of our business being the main workplace for many of our people and the location of our Showroom where we showcase our range of beautiful Jellycat products to our customers, potential customers and distributors.

The Office Assistant plays an important role in ensuring that the standards in the office are exceptionally high where we can be proud to invite customers and distributors to view our products, and where the work environment is inspiring and comfortable for our people. The role holder will also support the Office Manager in providing a seamless day to day running of the office, providing outstanding levels of service and communication to the team and all guests. This role is onsite office based 5 days a week.

You'll be;

  • Supporting the Office Manager with daily and weekly tasks.
  • Health and Safety, carrying out risk and fire risk assessments, identifying and managing workplace hazards, maintaining health and safety records, and ensuring the office meets relevant legal and safety requirements.
  • Assisting with health & safety, emergency procedures and office evacuation arrangements.
  • Ensuring the office, meeting rooms and showroom are presented to an excellent standard.
  • Supporting in preparing meeting rooms for external visitors and key internal meetings.
  • Providing first class meet and greet service for visitors.
  • Secondary point of contact for building management.
  • HR support – induction, new starter intro packs.
  • Assisting with office maintenance and promptly report any issues.
  • Keeping office documentation, records and contact lists up to date.
  • Maintaining and ordering stationery supplies.
  • Stock room management, including monitoring stock levels, maintaining organisation and ensuring supplies are readily available.
  • Procurement of office supplies, facilities requirements and other goods/services as required, ensuring value for money and timely delivery.
  • Assisting with staff requests and general office queries.
  • Ownership of the office kitchens and bathrooms – ensuring standards are upheld plus ordering and replenishment of provisions.
  • Assisting with posting and parcel management.
  • Car parking allocation.
  • Supporting the Office Manager with internal & external events.
  • Ad hoc tasks and projects assigned by the Office Manager.

You'll have;

  • Experience working in an office environment.
  • Health & Safety experience is desirable, ideally with NEBOSH training or similar.
  • Excellent communication skills, both written and verbal.
  • Competent in using Microsoft Office Suite, including Outlook, Excel, Word and PowerPoint.
  • Keen attention to detail and high standards of accuracy.
  • Discretion and professionalism when handling sensitive and confidential information.
  • Proactive, with strong organisational skills and the ability to prioritise workload.
  • Solution-focused with a practical and creative approach to problem-solving.
  • Able to work collaboratively as part of a team, as well as independently.
  • Personable, approachable and customer-focused.
  • Remains calm and professional under pressure.
  • Professional manner with a commitment to high standards and excellence.
  • Positive, welcoming and enthusiastic approach.
