🏡 Where you'll fit in:
This part-time role is central to keeping our London office running smoothly. You'll work closely with the Office Manager and Executive Assistants, looking after the day-to-day operational, safety and administrative needs of the office and making sure clients and colleagues have a great experience from the moment they walk in.
🚀 What you’ll own:
Client & Visitor Management
- Act as a point of contact for external guests, ensuring a high-quality experience.
- Manage and provide logistical support for all client and external offsite visits (including managing lunches, dinner reservations, meeting room coordination, and tours).
- Coordinate registering and collecting clients/visitors using our building’s visitor pass method.
- Assist with the management of speed gates and security risk coordination (working with our TechOps team).
Catering & Workplace Logistics
- Help manage and coordinate internal office catering, including large-scale team lunches and meeting requests.
- Provide logistical support for internal meetings, including setting up lunches and managing meeting rooms.
- Conduct daily walkthroughs to ensure all meeting rooms, breakout areas, and kitchen spaces are tidy, fully stocked, and client-ready.

Procurement & Inventory
- Assist in managing the procurement and stock control for all office supplies (e.g., kitchen supplies, coffee consumables, stationery, branded merchandise).
- Act as a point of contact for daily vendor and facilities liaison (e.g., cleaning, maintenance, building issues).
Workspace Support
- Assist EAs with high-volume, ad-hoc logistical tasks such as preparing goodie bags or managing event setup, particularly on high-traffic days.
- Provide holiday and absence cover for key Office Manager duties.
Operations & Admin Support
- Manage day-to-day access requests, including new starter/replacement passes, bike store access, and dog access list management.
- Support the onboarding process by preparing laptops, welcome packs, and arranging access badges and passes.
- Handle all incoming post admin tasks and deliveries, and assist in distributing items to staff.
Health & Safety
- Provide key administrative support for the office's Health & Safety program.
- Conduct regular, documented checks of all First Aid Boxes and AEDs, ordering new supplies as needed.
- Support the DSE (Display Screen Equipment) process by logging requests and ordering approved ergonomic equipment.
- Assist with coordinating H&S training (e.g., First Aid, Fire Warden) and maintaining up-to-date records.
- Act as a designated Fire Warden and/or First Aider (training to be provided).
🧠 What you’ll bring to the party:
- Previous experience in working in an events team, a private members' club or similar hospitality or service-led environment.
⭐️ Bonus points:
- Spanish language skills, to support day-to-day communication with our office cleaning team.
