Description
Zelle International LLP is seeking a flexible and eager Office Assistance / Receptionist to support the day-to-day operations at the Zelle International London office. With the addition of this position, the office will have 5 partners, 8 solicitors, and 4 staff for a total of 17 people working together in this law office. This role is essential to creating a professional, welcoming, and efficient work environment for partners, solicitors, staff, and clients.
This is a new position, and we welcome applicants who seek a career path in a professional environment and do not have previous professional experience. We will provide all required training for the position in-office.
The ideal candidate will serve as the first point of contact for clients while also supporting administrative and operational functions that keep the London office running smoothly. This position requires attention to detail, excellent communication skills, and the ability to manage multiple priorities.
Essential Duties and Responsibilities
- Warmly greet all incoming staff, partners, solicitors, and clients into the office, ensuring that any inquiries or questions are addressed or routed appropriately.
- Field all incoming clients to the appropriate conference rooms or offices. Offer tea and other beverages to visitors.
- Maintain and prepare a polished appearance of the office - stocked supplies, clean furniture, catering set-up, etc.
- Understand the preferences of the team and order the beverages and preferred snacks accordingly. Maintain a fully stocked supply of everyone's favorite treats visible and available in the kitchen with extras on hand so everyone has what they need available at all times.
- Office errands and package mailing as requested.
- Support projects as requested by the Office Director during times when immediate service to office guests is not needed.

Requirements
- Required to report to the office five days a week, 9am to 5:30pm.
- Higher education.
- Computer proficiency using Outlook, Windows, Microsoft Word & Excel.
- Consistently provides friendly and fast support to clients and staff by listening closely to the details and moving quickly to resolve their questions.
- Organizational skills and attention to detail are key skills needed in this role.
- Ability to prioritize tasks and be self-motivated.
- Good writing, math, and analytical skills.
- Interpersonal skills necessary to communicate effectively with a diverse group of attorneys, staff, and outside service providers, and provide information with professional courtesy and tact.
- Effective team member who displays initiative, acts with integrity, and maintains confidentiality appropriately.
- Work occasionally requires more than 40 hours per week to perform the essential duties of the position; may require irregular and overtime hours.
