Office Assistant
Location: Central London
Working hours: 35 hours per week
Hybrid working: 1 or 2 days per week from home (Flexible)
Salary: £30,000-£35,000 depending on experience
Our client are a growing heritage consultancy, providing specialist advice and support across the built environment. This is a newly created role and an opportunity to become an important part of the business as it continues to grow. The successful candidate will be the anchor for the office, providing practical day-to-day support to the team and taking ownership of a wide range of company and office administration.
The Role
We are looking for an Office Assistant to help run the day-to-day administration of a small but growing consultancy. This is a varied, hands-on role and no two days are likely to be exactly the same. The position is deliberately broad, with duties evolving as the company grows and as we work out what additional support the team needs. This could be an excellent opportunity for someone at the beginning of their career who is organised, capable and keen to learn.
Key Responsibilities
The role will include a mixture of office, administrative and organisational duties, including:
- Taking responsibility for the smooth day-to-day running of the office.
- Helping to get the new office fully set up and operational, including ordering equipment and supplies such as printers, monitors and other office essentials.
- Providing general administrative support to the directors and consultants.
- Preparing, formatting and sending letters, reports and other documents.
- Managing incoming and outgoing post and correspondence.
- Liaising with clients, building managers, suppliers and other contacts.
- Booking travel, accommodation and meetings when required.
- Organising meetings, including Teams calls and meeting rooms.
- Maintaining electronic and physical filing systems and ensuring documents are stored correctly.
- Helping to keep company records and information up to date.
- Assisting with invoices, payments, expenses, ordering and other basic financial administration.
- Ordering office equipment and supplies and making sure the office has what it needs to operate effectively.
- Helping to set up and maintain office systems as the business develops.
- Assisting with IT and general office administration, including liaising with external suppliers where required.
- Providing ad hoc support to the team as and when needed.

About You
We are looking for someone who is:
- Organised - able to keep track of different tasks and deadlines.
- Proactive - someone who spots what needs doing rather than always waiting to be asked.
- Positive and willing to learn - happy to pick things up and ask questions.
- Technically confident - comfortable using computers and everyday office software, and willing to learn new systems.
- Practical and adaptable - able to move between different tasks depending on what the business needs.
- Reliable and conscientious - someone the team can depend on.
- Good with detail and numbers - with an eye for accuracy when dealing with things such as orders, invoices and payments.
- A good communicator - comfortable dealing with colleagues and external contacts.
- Someone with common sense - able to look at a task and work out the sensible next step.
- A team player - happy to work closely with a small, friendly group of consultants and directors.
