Office Assistant

Location: London, UK – Office Based
Department: Operations / HR
Reports To: HR
Employment Type: Full-Time, Permanent
Salary: £28,000 – £30,000 per annum, depending on experience

As our UK and European operations continue to grow, we are looking for an organised and proactive Office & Operations Assistant to support the smooth day-to-day running of our London office.

Job Overview

The Office & Operations Assistant will provide day-to-day administrative and operational support to ensure the London office runs efficiently. This is a hands-on role suited to someone who is highly organised, approachable, and comfortable managing a varied workload. You will support office operations, employee administration, onboarding logistics, meetings, suppliers, and general business administration. The role will work closely with HR and management while providing support to the wider team.

Key Responsibilities

Office & Workplace Support

  • Support the day-to-day running of the London office.
  • Maintain office supplies, refreshments, and general office stock.
  • Coordinate deliveries, post, couriers, and office-related requests.
  • Assist with office access, keys, fobs, and visitor arrangements.
  • Ensure meeting rooms and shared office spaces are organised and appropriately maintained.
  • Liaise with building management, suppliers, and external service providers where required.
  • Coordinate maintenance and facilities-related requests.
  • Support health and safety administration and general workplace requirements.

Administrative & Operational Support

  • Provide general administrative support to HR and management.
  • Coordinate meetings, appointments, and internal office activities.
  • Assist with document preparation, filing, and maintaining organised records.
  • Support the processing and tracking of invoices, receipts, and office expenses.
  • Maintain relevant office trackers and administrative records.
  • Support ad-hoc operational projects and business requirements.

Employee & Onboarding Support

  • Coordinate practical arrangements for new starters, including equipment, office access, and workspace preparation.
  • Support induction and first-day arrangements.
  • Assist with maintaining onboarding and employee administration checklists.
  • Coordinate equipment requirements with the relevant internal teams.
  • Act as a helpful first point of contact for general office and administrative queries.
  • This position will provide administrative support to HR but will not be responsible for employee relations matters.

Culture & Employee Experience

  • Support the organisation of team socials, office events, and employee engagement activities.
  • Assist with internal office communications and announcements.
  • Help create a welcoming, organised, and professional office environment.
  • Support initiatives aimed at improving the overall employee experience.

Skills & Experience

  • Previous experience within receptionist, office administration, office coordination, operations, or a similar support role is desirable.
  • Strong organisational and time-management skills.
  • Excellent attention to detail.
  • Confident written and verbal communication skills.
  • Comfortable managing multiple priorities in a fast-paced environment.
  • Good working knowledge of Microsoft Office, including Outlook, Word, Excel, and Teams.
  • Professional, approachable, and able to work effectively with employees at all levels.
  • Ability to work independently and take ownership of day-to-day responsibilities.
  • A proactive approach with the ability to identify and resolve routine operational issues.
