Company Description
Passive Fire Protection Specialists Ltd delivers a wide range of passive fire protection services to support safe, compliant buildings. The company’s expertise includes thin film intumescent coatings, board encasement, and sprayed cementitious products for structural fire resistance. It also provides soffit insulation, fire stopping, fire doors, and compartmentation works to help prevent the spread of fire and smoke. Joining the team offers the opportunity to contribute to safety-critical projects and work within a specialist, technically focused environment.
Role Description
The Office / Compliance Manager is a full-time, on-site role based in Glasgow, responsible for overseeing office administration and compliance activities. Day-to-day tasks include:
- Managing office processes
- Coordinating documentation
- Maintaining accurate records for projects and company operations

The role involves:

- Monitoring compliance with fire protection regulations, company policies, and industry standards
- Keeping certifications, risk assessments, and method statements up to date
- Liaising with project managers, site teams, clients, and external auditors to support smooth project delivery and regulatory adherence
Additional responsibilities include:
- Supporting health and safety procedures
- Assisting with training and induction records
- Preparing reports for management
- Helping improve internal systems and workflows
Qualifications
- Strong office administration and organizational skills, including document management, scheduling, and record keeping.
- Experience with compliance, quality assurance, or regulatory frameworks, ideally within construction, fire protection, or a related technical field.
- Proficiency with standard office software (e.g., Microsoft Office or equivalent) and comfort working with digital filing and compliance tracking systems.
- Excellent communication and interpersonal skills, with the ability to collaborate effectively with internal teams, clients, and external stakeholders.
- Attention to detail and a systematic approach to reviewing documentation, contracts, and compliance evidence.
- Understanding of health and safety principles; familiarity with UK fire safety or building regulations is an advantage.
- Proven ability to manage multiple priorities, meet deadlines, and work independently in a busy office environment.
- Relevant education or training in administration, compliance, or a related discipline; prior experience in an office management or compliance role is highly beneficial.
