About the Role
The Office Coordinator plays an important role in creating a professional, welcoming and well-organised office environment. Working closely with the Office Manager and wider team, you will provide front-of-house, facilities and administrative support to ensure the smooth day-to-day running of the office.
This is a predominantly office-based role and would suit someone looking to develop their career in office administration and facilities support.
Key Responsibilities
- Deliver a professional and friendly front-of-house experience for colleagues, clients, and visitors.
- Set up meeting rooms, ensuring they are clean, presentable, and equipped for meetings and events.
- Support the day-to-day facilities operations, helping to maintain a welcoming, clean, safe, and secure working environment.
- Assist with visitor management, including greeting visitors and coordinating contractor access.
- Provide support with office health and safety activities, including office inspections, fire drills, and incident reporting.
- Assist with onboarding activities for new joiners, including office tours and first-day arrangements.
- Monitor office supplies and place orders as required.
- Support the management and distribution of incoming and outgoing post, deliveries, and couriers.
- Provide switchboard and general inbox support, responding to or escalating enquiries as appropriate.
- Assist with the coordination of local office events and team activities.
- Support meeting and event catering arrangements when required.
- Carry out routine administrative tasks, maintaining accurate records and documentation.
- Help identify opportunities to improve office processes and enhance the workplace experience.

What We're Looking For
- Previous experience in a customer service, hospitality, administrative, or office support role would be beneficial.
- A positive, professional, and approachable manner.
- Excellent communication and interpersonal skills.
- Strong organizational skills and attention to detail.
- Ability to prioritize tasks and manage a varied workload.
- Comfortable using Microsoft Office applications, including Outlook, Word, and Teams.
- A proactive attitude with a willingness to learn and take on new responsibilities.
- Commitment to delivering an excellent experience for colleagues, clients, and visitors.
