HireArt is helping a fast-growing financial software startup find an Office Coordinator to join its London team and work closely with the Senior EU Office Manager.
In this role, you'll be the first point of contact for employees, guests, and candidates visiting the London office, playing an important role in creating a welcoming, professional, and well-organized workplace experience.
The ideal candidate is highly organized, proactive, and confident working independently. You are comfortable managing multiple priorities and taking ownership of projects while remaining approachable and service-focused. You enjoy creating a positive workplace environment and are happy to get involved wherever support is needed.
As an Office Coordinator, You Will
- Act as the first point of contact for employees, guests, and candidates visiting the office.
- Manage the reception area and ensure visitors receive a warm and professional welcome.
- Support the Senior EU Office Manager with the smooth running of the London office.
- Coordinate day-to-day office operations, ensuring the workplace is well organized and maintained.
- Assist with office events, meetings, and employee engagement activities.
- Coordinate deliveries, couriers, post, and general office administration.
- Liaise with building management, suppliers, and contractors when required.
- Help manage office supplies, equipment, and facilities.
- Support workplace projects and take ownership of assigned tasks from start to finish.
- Identify opportunities to improve the employee experience and proactively put solutions into place.
- Provide general administrative and operational support to employees across the office.

- 2+ years of experience in office coordination, office management, administration, or a similar role
- Exceptional written, verbal, and interpersonal communication skills
- Proactive, adaptable, and resourceful, with a strong ability to take initiative
- Highly organized and detail-oriented, with the ability to manage multiple priorities effectively
- Strong project management and organizational skills
- Ability to collaborate effectively with diverse teams and stakeholders
- Proficiency with Zoom, Slack, and Google Workspace
Commitment: This is a full-time, 12-month contract (with the possibility for extension) based onsite in the client’s London office.
