Fixed-term contract (12 months)

The role

We're looking for an energetic, organised, and people-focused Office Coordinator to help create a great experience for everyone who works from and visits our London office. This role combines office management, employee experience, and operational support, ensuring our office is a place where people feel welcomed, connected, and set up for success.

You'll be at the heart of office life, organising socials and team events, supporting visitors and new starters, coordinating meetings, and helping the office run smoothly day to day.

Responsibilities

  • Ensure the smooth day-to-day running of the London office, creating a welcoming, organised, and productive environment for employees and visitors
  • Act as the primary point of contact for all office-related queries and support
  • Organise and coordinate team socials, celebrations, and office events throughout the year
  • Coordinate meetings and visits for leadership, investors, partners, and other external guests, ensuring a professional and seamless experience
  • Manage meeting rooms, office facilities, and workplace logistics to ensure the office operates efficiently
  • Ensure meeting rooms and AV equipment are always set up and ready for internal meetings, client presentations, and investor visits
  • Build strong relationships across the business and contribute to a positive, inclusive, and engaging office culture
  • Help deliver a smooth onboarding experience for new starters, ensuring they feel welcomed and set up for success from day one
  • Coordinate onboarding activities, including office inductions, equipment requests, access requirements, and first-week logistics
  • Manage relationships with office suppliers, service providers, and building management
  • Ensure office supplies, refreshments, and equipment are maintained and readily available
  • Support the implementation and continuous improvement of office processes and ways of working
  • Assist with health and safety requirements, including maintaining up-to-date fire wardens and first aiders, and help ensure the office remains a safe and compliant workplace
  • Provide ad-hoc administrative and operational support to the leadership team when required

Skills & Experience

  • Previous experience in an Office Manager, Workplace Experience, People Operations, or similar role
  • Exceptional organisational skills with the ability to manage multiple priorities simultaneously
  • Strong attention to detail and a proactive approach to problem-solving
  • Excellent verbal and written communication skills
  • Confident building relationships with people at all levels of the organisation
  • A friendly, approachable, and professional manner
  • Experience organising events, socials, or workplace initiatives
  • Ability to work independently and take ownership of tasks from start to finish
  • Comfortable coordinating multiple stakeholders and managing competing demands
  • Strong administrative and operational skills
  • A positive, can-do attitude and willingness to get stuck in wherever needed
