What You’ll Be Doing

The role of Office Coordinator is an office-based role with minimal flexibility to work from home. The responsibilities of the post are as follows:

  • Support and coordinate the smooth running of our London office, ensuring all ISO quality processes relating to the facilities are maintained. Ensure all new starters' workspaces are ready.
  • Ensure the office is stocked with necessary essentials.
  • Maintain records, resolve issues when identified, and complete new starter inductions.
  • Be the first point of contact for all visitors, ensuring meeting rooms are prepared, refreshments are provided, and everyone feels warmly welcomed.
  • Book travel arrangements, including trains and flights, for employees and contractors, ensuring all travel logistics are handled efficiently.
  • Provide administrative support to the Executive Assistant, including taking meeting minutes when required, managing correspondence, and handling any other ad hoc admin tasks.
  • Communicate effectively with internal and external stakeholders.
  • Answer incoming PGI calls and handle enquiries appropriately, ensuring timely and effective resolution.

  • Demonstrable experience in office/facilities management.
  • Proactive problem-solving abilities and the capacity to multi-task.
  • Excellent time management and the ability to prioritise tasks effectively.
  • A ‘no job too small’ attitude!
  • A friendly and welcoming personality with the ability to work well with others.
  • Strong working knowledge of MS Office.
  • The ability to remain calm under pressure while managing a diverse workload.
  • Experience in taking meeting minutes (essential).
  • Exceptional communication skills, particularly in writing clear and professional emails.
  • Strong organisational and administrative skills.
