Description
As the first point of contact for the division, the Office Coordinator plays a key role in creating a welcoming and professional experience for colleagues, customers, and visitors. Responsible for the smooth day-to-day running of front-of-house operations, they coordinate meeting spaces, manage communications, and oversee mail and courier services.
In addition, they provide proactive PA support to the Production Director, managing diaries, coordinating meetings, and helping to prepare high-quality communications and presentations that support the delivery of our developments.
Reception Management
What you'll be doing
- Greet and assist all visitors with professionalism and efficiency, utilising desk booking platforms and the car park database to ensure smooth operations.
- Manage meeting room bookings and calendars.
- Handle all incoming calls and emails, screening for cold calls and taking detailed messages when necessary.
- Maintain up-to-date records, including key logs, laptop logs, and other essential documentation.
- Coordinate staff exercise classes, including advance bookings, weekly communications, and purchasing additional credits as needed.
- Manage post including distribution to staff, franking mail for collection, and booking courier services.

PA to Production Director
- Proactively manage the Production Director’s diary, ensuring efficient scheduling and prioritisation of commitments.
- Coordinate meeting logistics, agendas, and minutes, including booking rooms.
- Draft professional correspondence, including emails, memos, and company forms, for review and distribution.
- Compile, format, and bind presentation materials and reports as required, including weekly site packs.
- Organise team events and entertainment, supporting both the production team and, where applicable, the wider business.
- Assist with monthly expense claims.
What You'll Bring
- Proven experience in providing high-level administrative support, including diary management, meeting coordination, and minute-taking.
- Strong organisational skills, with the ability to manage multiple tasks and priorities.
- Excellent communication skills, both written and verbal.
- Attention to detail, especially when handling documents, contracts, and financial data.
- Proactive and self-motivated, with a collaborative approach to team support.
- Tech-savvy, with proficiency in Microsoft Office (Word, Excel, Outlook, Teams) and experience with SharePoint or similar platforms.
- Discretion and professionalism, especially when handling confidential information.

The standard default full-time working hours in the office are 8am-5pm with core working hours 9am-4pm.
