What to Expect

This is an office-based role and the successful candidate will be required to be on-site in Bicester 5 days a week.

In this role, you will oversee, maintain and ensure the smooth and efficient day-to-day operations of the offices, delivering an unparalleled employee experience while enabling exceptional business results.

The role is varied, providing both general operations support and opportunities to get involved in ad-hoc projects.

What You'll Do

  • Acting as first point of contact for the office, including maintenance, cleaning, mailing, shipping, deliveries, supplies and equipment.
  • Managing ad-hoc projects and events, working closely with suppliers and external and internal stakeholders to ensure projects are completed on time and within budget.
  • Providing lunch cover and general support to the main reception including answering the office access intercom, greeting client visitors and directing accordingly.
  • Co-ordinating arrangements for internal and external meetings, team events and lunches.
  • Placing weekly office grocery supply orders, taking delivery, monitoring stock and distributing across all offices on site(s).
  • Monitoring office stationery supplies and placing replenishment orders where appropriate.
  • Overseeing cleaning contractors; ensuring the office and facilities are well maintained, addressing issues, scheduling regular deep-clean sessions and communicating updates.
  • Managing and responding to office and facilities queries, including carrying out daily office inspections.
  • Liaising with maintenance providers to co-ordinate building maintenance and repairs.
  • Arranging courier collections and deliveries.
  • Creating purchase orders, ensuring goods are receipted and liaising directly with suppliers.
  • Monitoring and replenishing first aid kit equipment as required.
  • Providing support to the senior leadership team and project support.
  • Overseeing the day-to-day management of contracts with office vendors, service providers and office lease(s).
  • Supporting enquiries from the wider business and external suppliers.
  • Managing schedules and calendars, and setting up processes to co-ordinate meeting room bookings.

What You'll Bring

  • Degree in a business-related subject or equivalent experience (desirable).
  • Relevant office admin, operations or facilities experience.
  • Excellent IT skills.
  • Personable, with strong communication and relationship-building capabilities across all levels of the business.
  • A multi-tasker who successfully prioritises and executes against tight deadlines in a rapidly evolving work environment.
  • Courageous and ambitious, with a “can-do” attitude and willingness to do whatever it takes to achieve great results; finding a way when encountering obstacles or setbacks.
