A-Frame is a leading global talent management agency representing some of the world's most influential creatives across fashion, beauty, entertainment and lifestyle.

We are looking for a proactive and organized Part-Time Office & Finance Administrator to join our UK Finance team 3 Days Per Week (Mon, Tues, Thurs - 24 hours a week)

This is a varied role that combines credit control, finance administration and office support, making it ideal for someone who enjoys working in a fast-paced, collaborative environment.

About the Role

The primary focus of this role is managing client collections and supporting the day-to-day administration of the finance department. You will be responsible for ensuring outstanding invoices are followed up promptly, maintaining accurate client records and supporting the smooth running of the finance function.

Alongside finance responsibilities, you'll also assist with general office administration, helping to keep the office well organized and fully stocked.

Key Responsibilities

Credit Control

  • Chase outstanding client invoices by email and telephone.
  • Obtain and monitor payment dates.
  • Follow up overdue accounts and outstanding payment promises.
  • Record collection activity and client updates.
  • Escalate complex or high-risk accounts where appropriate.

Red List Management

  • Maintain and update the company Red List.
  • Identify unresponsive or high-risk clients.
  • Research additional finance contacts.
  • Prepare Red List updates for the weekly finance meeting.

Client Database Management

  • Build and maintain the Client Database.
  • Update finance and Accounts Payable contacts.
  • Record billing requirements and invoicing procedures.
  • Maintain client portal information and payment terms.
  • Ensure client records remain accurate and up to date.

Finance Administration

  • Organize and maintain the UK Accounts inbox.
  • Manage the Remittances folder and supporting documentation.
  • File finance documentation accurately.
  • Prepare Soldo transactions for monthly reconciliation by ensuring:
    • Receipts are attached.
    • Transaction notes are completed.
    • Outstanding information is obtained from cardholders.
  • Support the finance team with general administrative tasks.

Office Administration

  • Order office stationery and supplies.
  • Maintain office refreshments and snack supplies.
  • Organizing team events.
  • Managing meeting room bookings.
  • Office PA support with general office administration and ad hoc administrative tasks.

About You

We're looking for someone who is:

  • Highly organized with excellent attention to detail.
  • A confident and professional communicator.
  • Comfortable speaking with clients by phone and email.
  • Proactive, reliable and able to manage their own workload.
  • Positive, approachable and enjoys working as part of a team.

Previous experience in credit control, finance administration or office administration is desirable, but not essential. Full training will be provided.

Experience with Microsoft Office is essential, and experience using QuickBooks or similar accounting software would be an advantage.
