We are seeking a proactive and organised Office & HR Operations Coordinator to manage both office operations and HR support functions. This hybrid role (50/50) requires the candidate to ensure smooth day-to-day office management while assisting HR in administrative tasks, employee relations matters, employee engagement, and well-being initiatives. The ideal candidate will be hands-on, detail-oriented, and capable of managing multiple responsibilities efficiently.

Location: Office-based, in Milton Keynes, United Kingdom

Contract: Full-time, Permanent

Report to: Operations Director/People and Culture Manager

Salary: Up to £35,000

Key Responsibilities

Office Management (50%)

  • Oversee building maintenance, ensuring all facilities are functional and well-maintained.
  • Manage health, safety, and well-being compliance for employees, ensuring adherence to regulations.
  • Coordinate audits by authorities and third parties, preparing required documentation and facilitating inspections.
  • Manage supplier relationships for office services, repairs, and maintenance contracts.
  • Ensure office supplies and resources are stocked and managed efficiently.
  • Implement office policies and procedures to maintain a safe and productive workplace.

Human Resources Support (50%)

  • Support the People & Culture Manager in maintaining accurate employee records, HR documentation, and filing systems.
  • Assist in HR system management, including data entry, updates, and reporting.
  • Assist in coordinating employee onboarding, including documentation, system access, and workstation setup.
  • Support offboarding processes, including exit documentation and record updates.
  • Assist with employee relations matters by preparing documentation and taking notes in disciplinary, grievance, and investigation meetings.
  • Help ensure HR policies and procedures are communicated effectively, and consistently applied.
  • Monitor absence, sickness, and attendance data, highlighting trends or concerns to management.
  • Support performance management processes, including probation reviews and appraisal coordination.
  • Contribute to HR initiatives that promote employee engagement, wellbeing, health and safety, and workplace satisfaction.
  • Maintain strict confidentiality and ensure handling of employee data is compliant with GDPR and company policies.
  • Support internal HR communications, including updates, announcements, and employee initiatives.
  • Assist with HR audits and ensure records remain accurate, complete, and compliant.

Qualifications & Skills (Preferred)

  • Bachelor’s degree in Business Administration, Human Resources, or related field.
  • Previous experience in office management and/or HR administration.
  • Knowledge or certification in Health & Safety (H&S) is a plus.
  • Knowledge or certification in Human Resources (HR)/Employment Law is a plus.
  • Strong organisational, multitasking, and problem-solving skills.
  • Strong proficiency in Excel, data analysis, and reporting (including dashboards and HR metrics)
  • Excellent communication skills and attention to detail.
  • Ability to work independently and take initiative.
