General Role Responsibilities
- To support the smooth day-to-day running of the Group office, ensuring the working environment remains organised, well stocked, professional and welcoming.
- To provide practical administrative and office support across the business, responding to day-to-day requirements efficiently and with a positive, proactive approach.
- To coordinate routine office activities including supplies, meeting rooms, access arrangements, shared calendars and office duties.
- To support the preparation and coordination of internal communications, presentations and recurring Group activities.
- To assist with facilities, Health & Safety and workplace requirements, escalating issues promptly and helping ensure actions are completed.
- To build effective working relationships with colleagues, suppliers and visitors, providing a reliable first point of support for general office matters.
- To contribute towards the continuous improvement of office processes, organisation and administration as the Group continues to grow.

The successful candidate will take ownership of routine office administration and coordination, including office supplies, access arrangements, meeting room bookings, shared calendars, office rotas and facilities support. They will also help pull together the Group’s monthly wrap-up presentation and support recurring office and business activities.
This is a varied, practical role suited to someone at the beginning of their career who is organised, reliable and keen to learn. The role will provide exposure to different areas of the business and the opportunity to develop broader office management, administration and coordination skills over time.
Role Specific Tasks
- Coordinate the weekly Tesco office order, ensuring appropriate stock levels are maintained and orders are placed accurately and on time.
- Complete regular stationery stocktakes and replenish office supplies before stock levels become low.
- Manage office fobs and keys, including issuing, recording and recovering door access items as required.
- Coordinate and pull together the monthly Group Wrap-Up presentation, obtaining slides and updates from relevant departments and ensuring the final presentation is complete and ready on time.
- Manage the regular office milk order and monitor day-to-day kitchen and refreshment requirements.
- Coordinate meeting room bookings, ensuring rooms are available, organised and appropriately prepared for internal and external meetings.
- Maintain the office duties rota and support the management of the Group global calendar, ensuring recurring activities, key dates and office responsibilities remain up to date.
- Support Health & Safety administration and routine workplace checks, maintaining relevant records and escalating any concerns or required actions.
- Support facilities management across the office, including reporting maintenance issues, coordinating contractors and suppliers and following actions through to completion.
- Help maintain shared office areas, meeting rooms and communal spaces to a consistently high standard, identifying and resolving issues proactively.
- Provide general administrative support to the wider business where required, including document preparation, coordination, filing and other routine office tasks.
- Welcome visitors and support colleagues with general office queries, providing a helpful and professional point of contact.
- Continuously look for simple ways to improve office organisation, processes and the overall working environment.

Ideal Candidate Profile
The ideal candidate will be organised, reliable and keen to build a career within office administration and management. Previous office experience would be helpful but is not essential; attitude, attention to detail and a willingness to learn are equally important.
They will enjoy taking ownership of practical tasks, keeping on top of recurring responsibilities and making sure the small details that keep an office running smoothly are not missed. They will be comfortable communicating with colleagues at all levels and asking questions when needed.
The successful candidate will enjoy working in a busy, fast-paced environment where priorities can change and where they can become a dependable part of the wider team.
They will take pride in maintaining a professional, organised and welcoming workplace and will be motivated by the opportunity to develop their skills and take on greater responsibility over time.
