We’re looking for an Office Manager
Who will be responsible for organizing all of the administrative & events activities that facilitate the smooth running of the office on a day to day basis, including health & safety and projects. It is expected that the successful candidate be in the office at least four days per week.
What you’ll be doing:
- Serve as the primary point of contact for landlord, contractor, vendors and all visitors.
- Security for office – card access, alarm notifications and liaison with alarm company & IT.
- Collaborating with SVP, HR and IT on induction of new hires, hybrid workforce policies.
- Coordinate and manage large scale office projects such as office moves or and/or relocations.
- Manage office and facilities communication channels, acting as point of contact for escalation on facilities management.
- Manage all health and safety requirements, including carrying out DSE assessments, acting as our lead Health and Safety coordinator for the UK
- Provide general administrative support and take on other ad-hoc projects as required.
- Scheduling couriers, and mail management.
- Suppliers management including all office supplies (fruit, snacks, beverages)
- Plan and execute social events (virtual and in person where possible)
- Promote a positive, collaborative culture based on our core values
- Maintaining the office layout, working on floor plans and planning for future heads.
- Ensuring all operations are carried on in an appropriate, cost-effective way
- Improving operational management systems, processes and best practices
- Manage employee relations budgets and forecasts in collaboration with HR
- Liaise with facility management vendors, including cleaning, catering and security services
- Work with HR on ad hoc requests, including drafting paperwork and documentation for international employee visits

- Previous Office Manager experience is not needed but would be desirable
- Experience working on office projects.
- Experience in Health and Safety
- Excellent organizational and time management skills.
- Strong IT skills, including knowledge of Microsoft 365 (Desirable)
- The capacity to prioritize tasks and work under pressure.
- Ability to liaise well with different teams
- Strong oral and written communication skills.
- Ability to work on your own initiative.
- Attention to detail.
- Flexibility and adaptability to changing workloads.
