Office Manager

Manchester City Centre | £32,000 - £35,000 + bonus | Monday to Friday, 8am - 5pm

We’re recruiting for an Office Manager to join an award-winning property developer and placemaking business based in Manchester city centre. This is a broad and trusted role within a growing, entrepreneurial business, where you’ll become a key point of contact across the office and provide high-quality support to the senior management team. You’ll be the person who keeps everything moving behind the scenes, from managing directors’ diaries and meetings through to office operations, legal documentation, insurance, health & safety, customer care and general business administration. It’s a role that suits someone who enjoys having ownership, variety and responsibility, rather than being confined to one area of administration.

The role:

You’ll take responsibility for the smooth and professional running of the Manchester office, while providing trusted administrative support to senior management.

Your responsibilities will include:

  • Managing diaries for senior directors and coordinating internal and external meetings, appointments and events
  • Providing day-to-day administrative support to senior management, including travel and business arrangements
  • Managing central company inboxes and correspondence, ensuring important matters are dealt with promptly
  • Coordinating legal and commercial documentation, contracts, agreements, warranties and professional appointments
  • Liaising with solicitors, professional advisers and other external stakeholders
  • Managing company insurance administration, renewal dates, certificates and records
  • Taking ownership of the day-to-day running and presentation of the office
  • Managing suppliers, facilities, cleaning, maintenance, utilities, stationery and office services
  • Looking after meeting rooms, visitor arrangements, building access, fobs and security
  • Coordinating office Health & Safety, fire safety, risk assessments, training and associated records
  • Supporting holiday, absence, starter and leaver administration
  • Acting as a professional first point of contact for customer enquiries and coordinating customer care matters
  • Providing administration and organisational support to the property development and project teams
  • Coordinating meetings, agendas, reports, minutes and action trackers
  • Managing company phones, equipment, IT access and asset records
  • Supporting supplier administration, quotations, purchase orders and office expenditure

About you:

We’re looking for someone who is highly organised, proactive and dependable, with the confidence to take ownership rather than waiting to be told what needs doing. You’ll ideally have previous experience as an Office Manager, Executive Assistant, Senior Administrator or in a similar role, with experience supporting senior people and managing a wide range of responsibilities.

You’ll need:

  • Strong organisational and administrative skills
  • Excellent attention to detail
  • Experience managing diaries and coordinating meetings
  • Confidence dealing with directors and senior management
  • Strong Microsoft Outlook, Word and Excel skills
  • Excellent written and verbal communication skills
  • A professional telephone manner
  • The ability to manage competing priorities and keep things moving
  • A discreet and trustworthy approach when dealing with confidential information
  • The confidence to communicate with customers, suppliers, solicitors, professional advisers and other stakeholders

Experience within property, construction, real estate or professional services would be advantageous, although the right Office Manager from another background will also be considered.
