Robert Half is partnering with a Regulatory Advisory firm based in London in search for an enthusiastic Office Manager.

The Opportunity:

We are seeking an enthusiastic, proactive, and highly organised Office Manager to join the operations team. This pivotal role is central to the smooth running of the office environment, team engagement, and client experience. The successful candidate will collaborate with all departments to ensure the efficiency and well-being of the team while supporting the overall operational needs of the business.

Responsibilities

Office Experience:

  • Create a Premium Office Environment: Maintain a professional and polished office space that reflects high standards, ensuring it’s a welcoming place for both the team and clients.
  • Health & Safety Leadership: Take responsibility for ensuring the office adheres to health and safety regulations, with any required training provided.
  • Facilities Management: Build and maintain relationships with suppliers, contractors, and building management to ensure smooth daily operations.
  • Office Capacity & Occupancy: Monitor and manage office space usage, adapting to any changes as needed.
  • Communication Hub: Manage phone calls and shared mailboxes, directing inquiries to the appropriate parties efficiently.
  • Project Leadership: Lead ad-hoc office projects, including office relocations and other logistical tasks.

Team Experience:

  • Team Engagement: Coordinate team subscriptions and renewals, and plan team events such as strategy days or offsite retreats.
  • Well-being Initiatives: Take charge of wellness initiatives, ensuring the physical and mental health of the team is supported.
  • New Starter Support: Oversee the induction process for new team members, coordinating introductions and welcome events to ensure a smooth transition.

IT Management:

  • External IT Relationships: Manage our relationship with external IT support providers, ensuring continuous, seamless service for the team.
  • In-House IT Support: Provide day-to-day IT troubleshooting, coordinate training, and ensure that all systems are running smoothly.
  • IT Strategy: Lead the development and execution of the IT strategy, including overseeing IT asset management and certifications.
  • Ongoing IT Training: Provide ongoing training and ensure the team is up-to-date with any system changes or policy updates.

What We’re Looking For:

  • Experience in office management or administration roles within corporate or business environment.
  • Minimum GCSE level, A*-C or equivalent
  • Team oriented & service-focused
  • Highly organised & detail oriented.
  • Proactive & self-motivated
  • Strong communication skills.
  • Tech savvy: quick to learn new systems, with proficiency in Google Workspace (Gmail, Gdocs, Gsheets) and Microsoft Office, as well as familiarity with Xero Business and Accounting software is desirable
