Office Manager – Heating & Plumbing Services | South West London (Full-Time, In-Office)

We're hiring an Office Manager for a well-established, reputable heating and plumbing services provider in South West London. The team is 16–18+ qualified engineers and around 6 apprentices, all backed by a small, close-knit office — and we're looking for the person who keeps it all running.
No two days look the same here. One minute you're juggling the diary for a full team of engineers, the next you're calming down a customer whose boiler's just packed in, chasing a part, or turning around a quote. What you'll be doing
- Coordinating job scheduling and diary management across the engineering team
- Keeping customers in the loop proactively — not just when they chase you
- Owning our CRM (Commusoft): logging jobs, updating statuses, and helping roll out its full functionality across the office and field
- Putting together quotes and following up on proposals
- Ordering parts and coordinating logistics
- Invoicing completed jobs
- Fielding calls and enquiries, and resolving issues calmly and professionally
- Directing engineers to reactive/urgent jobs and re-prioritising on the fly
- Supporting engineers and apprentices with everyday admin and queries
What we're looking for
- Experience in a fast-paced, customer-facing office role within a service industry (B2C essential)
- No plumbing or heating background needed — the technical know-how already sits with the team
- A natural multi-tasker who thrives on staying ahead of a moving workload
- Calm, confident and professional under pressure, with quick-thinking instincts
- Comfortable picking up new systems fast — you'll be central to getting the most out of our CRM
- Strong written and verbal communication skills
- Highly organised, with a sharp eye for detail
- A genuine team player with a can-do attitude
