Job Summary

The Office Manager will play a key role in ensuring the effective management of the administrative, HR, financial and operational systems supporting Core by Clare Smyth and Corenucopia by Clare Smyth.

Working across both venues, the role will oversee a broad range of responsibilities including HR administration, financial processes, health and safety compliance, audit preparation, procurement, facilities management, IT systems and general office administration.

The ideal candidate will have previous experience in office management, ideally within hospitality, restaurants or another fast-paced operational environment. They will be highly organised, commercially aware and comfortable managing multiple priorities across two distinct venues.

This is a hands-on role requiring excellent attention to detail, strong communication skills and the ability to work independently while building effective relationships with colleagues, suppliers and external partners.

Key Responsibilities

HR & People

  • Oversee day-to-day HR administration across both venues, including recruitment, onboarding, employee records and relevant documentation.
  • Support managers with HR processes and ensure records and procedures are maintained accurately and consistently.
  • Ensure compliance with relevant employment legislation and company policies.
  • Coordinate staff documentation, training records and other people-related administration.
  • Act as a reliable point of contact for administrative HR queries across the business.

Health & Safety & Compliance

  • Oversee and maintain compliance with health and safety requirements across both Core and Corenucopia.
  • Ensure risk assessments, compliance records, certificates and relevant documentation are kept accurate and up to date.
  • Coordinate health and safety inspections, servicing and external audits.
  • Prepare for and facilitate external audits, ensuring any findings or recommendations are addressed promptly.
  • Work closely with venue management to implement improvements and maintain consistently high operational standards.

Finance & Administration

  • Manage the financial month-end close process, ensuring records and supporting documentation are accurate and up to date.
  • Review and approve invoices, ensuring suppliers are paid accurately and on time.
  • Support the management team with financial and administrative reporting as required.
  • Maintain accurate records across both venues.
  • Oversee general office administration, including document management, correspondence and filing.
  • Ensure administrative processes are efficient, organised and consistently followed.

Procurement & Suppliers

  • Manage the procurement of office, restaurant and operational supplies across both venues.
  • Establish and maintain strong relationships with key suppliers and service providers.
  • Obtain quotations where appropriate and monitor costs and supplier performance.
  • Coordinate deliveries, servicing and other supplier requirements.
  • Ensure essential supplies and services are available when required, working proactively with venue teams to anticipate needs.

Facilities & Maintenance

  • Oversee the maintenance and servicing of restaurant equipment, facilities and operational infrastructure across both venues.
  • Coordinate external contractors for repairs, servicing and planned maintenance.
  • Maintain accurate records of servicing, certificates and maintenance schedules.
  • Respond proactively to operational issues and coordinate their resolution with the relevant teams.
  • Help ensure both venues remain safe, well maintained and operational to the high standards expected of the business.

IT & Systems

  • Maintain and support the business's core administrative and restaurant operating systems.
  • Oversee systems including reservations, POS and other relevant restaurant software.
  • Coordinate with external IT providers to resolve technical issues and maintain systems effectively.
  • Support the implementation and onboarding of new systems where required.
  • Ensure appropriate access, records and administrative processes are maintained across the business.

The Ideal Candidate

  • Experienced as an Office Manager, Operations Administrator or in a similar role, ideally within hospitality, restaurants or another fast-paced environment.
  • Confident managing administrative processes across more than one location.
  • Fully competent in HR administration, financial administration and health and safety compliance.
  • Highly organised, detail-oriented and an excellent multitasker.
  • A strong communicator with excellent interpersonal skills.
  • Proficient in Microsoft Office and confident learning and managing business and restaurant operating systems.
  • Comfortable working with accounting and financial administration systems.
  • Experienced in procurement and supplier management.
  • Confident liaising with contractors, suppliers and external service providers.
  • Proactive, practical and solutions-focused.
  • Able to work independently while collaborating effectively with teams across both venues.
  • Comfortable working in a fast-paced hospitality environment where priorities can change quickly.
  • Professional, discreet and trustworthy, with the ability to handle confidential information appropriately.
  • Passionate about maintaining high standards and contributing to an exceptional hospitality business.
