Role Overview

We move fast, we make a lot of content, and our office needs someone who can keep up. As our Office Manager, you'll be the person who makes sure the lights are on, the fridge is stocked, the team feels looked after, and nothing falls through the cracks. You'll own the day-to-day running of our London studio and take on a range of HR admin responsibilities to keep our people operations ticking. This isn't a sit-and-wait kind of role. You'll be proactive, personable, and the kind of person who sorts things out before anyone else notices they needed sorting.

Main Duties & Responsibilities

Office Management Responsibilities:

  • Own the daily running of the office: managing deliveries, supplies, and maintaining a clean, organised, and welcoming workspace.
  • Oversee studio maintenance: coordinate with cleaners, contractors, and the landlord to keep our spaces in great shape.
  • Organise weekly food orders and daily breakfast, and keep the office fully stocked with everything the team needs.
  • Ensure ongoing compliance with health and safety regulations, conducting regular checks and maintaining a safe working environment for everyone.
  • Drive the company social calendar: organise team events, offsites, and celebrations for key milestones like birthdays and work anniversaries.
  • Manage internal office communications, keeping the team informed of updates, changes, and anything happening in the space.
  • Continuously review and improve office procedures to make things run more efficiently.

HR Administration:

  • Set up laptops, email accounts, and system access for new starters.
  • Own the office side of onboarding: make sure new starters have a desk ready, get a proper welcome, and know where everything is on day one.
  • Coordinate interviews: book rooms, greet candidates, and make sure the day runs smoothly.
  • Draft and send standard HR letters and documents as needed.
  • Keep employee records up to date on our internal HRIS, including personal details, start dates, and any changes.
  • Manage absence and holiday records, keeping Hi-bob accurate and flagging anything that needs attention.

Requirements

Key Skills:

  • Confident managing a busy, fast-paced office environment independently.
  • Excellent communication and interpersonal skills; you're the person people come to.
  • Strong organisational and time management abilities; you juggle multiple priorities without dropping the ball.
  • Comfortable handling sensitive information with discretion and professionalism.
  • Proactive and solution-focused; you spot problems and fix them before being asked.

Experience:

  • Proven experience in office management or a senior administrative role.
  • Previous exposure to HR administration or people operations is a plus.

Salary

30-35k Annually
