Office Manager – Engineering

Looking for a role where your organisation skills will genuinely make a difference?
We’re working with a well-established engineering business in Middleton that is looking to appoint an Office Manager to provide additional structure and support across its busy operation. This is a newly created role within an experienced and close-knit team.
The business is already well established, but as workloads continue to grow and customer requirements increase, they’re looking for someone who can take ownership of the day-to-day office operation, keep projects moving and make sure the admin behind the engineering team is running smoothly.
It’s a varied, hands-on position covering project coordination, systems administration, compliance, purchasing, scheduling and general office management. You’ll become a key point of contact for the engineering team and management, making sure jobs are set up correctly, information is up to date and deadlines don’t get missed.

Your responsibilities will include:
Project & Workflow Coordination
- Manage incoming work orders, quotations, job set-up and scheduling of engineers and resources through to completion and invoicing.
- Monitor project progress, deadlines and documentation, supporting engineers and managers with project administration and client requirements.
Systems Administration
- Take ownership of the company's job and field management system, managing jobs through their full lifecycle and ensuring information is kept up to date.
- Produce weekly and monthly management reports covering job progress, tracking and billing, while supporting the team with system use and best practice.
Procurement & Compliance
- Raise and track purchase orders through Oracle and Coupa, manage supplier quotations, approvals and deliveries, and monitor outstanding orders.
- Prepare RAMS and maintain records covering training, accreditations, vehicle checks and other compliance requirements.
Office & Operational Support
- Coordinate engineer travel and accommodation, fleet administration, PPE, tools and equipment.
- Maintain office records, systems and supplies, act as a first point of contact for visitors and general queries, and provide administrative support to a secondary regional division.

We're looking for someone who is highly organised, proactive and comfortable taking ownership, ideally in a busy engineering, manufacturing, construction, facilities, field service or project-based office environment.
You'll need to be confident working with systems and portals, comfortable dealing with engineers, suppliers and customers, and have the attention to detail to spot when something doesn't look right.
Most importantly, you'll be someone who gets things done. You'll be happy picking up the phone, chasing information, keeping people on track and looking for ways to make processes work better.
