Office Manager
Reporting to: Chief of Staff
Location: Chelsea, London (Office Based)
Roles and Responsibilities
A highly organised and proactive Office Manager to oversee the day-to-day running of our office environment, provide light-touch executive support and support general client operations administration.
This role acts as a central point of coordination for office operations, facilities management, health and safety, and internal processes, while also supporting the leadership team and contributing to client operations tasks such as quotes and hardware orders.
Key Responsibilities
Office Management
- Receiving visitors
- Answering and directing incoming phone calls
- Day-to-day management of office policies and procedures (secure asset disposal, office access management)
- Stock management
- Management of office suppliers (cleaners, water delivery, building management, food supplies, office supplies)
- Company event planning and management
- Mail management
- Acting as the primary point of contact for office-related queries and support

Facilities & Vendor Management
- Overseeing office facilities, maintenance and general upkeep
- Tracking and resolving maintenance issues, coordinating with contractors and service providers
- Monitoring vendor performance, costs and adherence to agreed processes
- Managing cleaning staff and ensuring high standards of cleanliness and organisation
- Being present in-office to oversee vendor work and ensure accountability
Health & Safety
- Managing office health and safety processes and ensuring compliance with workplace standards
- Maintaining and updating relevant documentation, including emergency procedures and roll call lists
- Coordinating training for first aid, fire safety and safety representatives
- Acting as a point of contact for health and safety matters and incidents
Client Operations
- Preparing and issuing client quotes
- Placing hardware orders and tracking delivery
- General client operations administration, including liaison with suppliers and internal teams to keep orders and requests on track

HR Administration
- Coordinating employee onboarding
- Initiating referencing
- Supporting starters and leavers administration
- Assisting with HRIS system updates
- Preparing and managing employee induction packs
- Supporting workspace readiness and access setup for new starters
Executive Support (light touch)
- Booking travel and accommodation for senior leadership
- Diary support and scheduling assistance as required
- General ad hoc administrative support for the senior leadership team
Skills & Experience
- Strong communication skills
- Good grammar and punctuation
- Good numeracy and mathematical ability
- Experience with MS Office suite (or Google Docs)
- Attention to detail
- Letter and email composition
- Confidence in dealing with people both face to face and over the phone
- Comfortable prioritising across varied, fast-changing tasks
