Our current portfolio includes part or fully owned wind farm projects, each at different lifecycle stages. Our operational wind farms – Afton (100% equity), and Beatrice (25%) – have an installed capacity of 638 MW, while our development projects – Benbrack onshore wind farm in the South West of Scotland (100%) and Inch Cape offshore wind farm off the East Coast (50%) – will deliver an additional 570 MW.

We are committed to long term investment in the Scottish and UK market, onshore and offshore wind sectors in particular, and have strong growth ambitions to expand into the wider European market and other sustainable energy technologies. Job Purpose

The Office Manager is responsible for the effective day-to-day management and coordination of office operations and facilities. The role ensures the office is safe, secure, well maintained and operates effectively, while providing a professional and welcoming environment for employees and visitors. This includes taking ownership of office services and coordinating suppliers and contractors, ensuring day-to-day operational requirements are managed efficiently and followed through to completion.

Job Description

  • Take ownership of day-to-day office operations, proactively identifying and addressing requirements and issues and ensuring actions are followed through to completion.
  • Manage the office environment and facilities, ensuring the workplace is safe, secure, well maintained and presented to a high standard, proactively monitoring office conditions and coordinating maintenance, repairs and other facilities requirements as necessary.
  • Manage supplier, contractor and service provider relationships and contracts, including quotations, works and services, monitoring performance and costs and ensuring requirements are delivered to the required standard.
  • Coordinate office risk assessments and employee office and safety inductions, working with the HSEQ team to ensure relevant requirements, checks and actions are completed, recorded and followed through.
  • Maintain and regularly review Office Management procedures, records and controls, carrying out periodic checks and audits to ensure processes are followed, records remain accurate and any gaps or improvement actions are addressed.
  • Coordinate business travel, accommodation, meetings, conferences, venue hire and corporate events (incl. Social Committee), ensuring arrangements are appropriately planned and delivered effectively.
  • Manage and monitor Office Management expenditure against agreed budgets, including invoices, corporate payments and purchasing through the Company finance & operation system (Dynamics 365), ensuring costs and commitments are appropriately controlled and processed.
  • Take ownership of the management and administration of corporate lets, including coordinating occupancy arrangements, utilities, billing and payment requirements, inventories, cleaning and other property requirements, maintaining associated records and proactively monitoring arrangements to ensure actions and issues are followed through to resolution.
  • Line manage the Receptionist, providing clear direction and oversight of front-of-house and day-to-day office support activities, including workload management, performance reviews, development and ensuring appropriate cover and service standards are maintained.

Knowledge and Experience

Essential

  • Previous experience in an Office Manager or similar role, with responsibility for day-to-day office operations, facilities and associated procedures
  • Experience managing suppliers, service providers and associated contracts, including monitoring performance and costs
  • Experience maintaining and reviewing procedures and controls, including carrying out checks or audits to ensure processes are being followed
  • Experience managing or monitoring budgets, expenditure, invoices and purchasing
  • Knowledge of workplace health and safety requirements within an office environment

Desirable

  • Previous line management or supervisory experience

Qualifications

  • Relevant qualification in Office Management, Facilities Management or Business Administration (desirable)
