Office Manager

Location: Gloucester

Employment: Full-time, Permanent

Working Pattern: Hybrid – 4 days office-based, 1 day working from home

Salary: Competitive depending on experience + benefits

ARCA Consulting is supporting an established and growing business in the appointment of an experienced Office Manager to take ownership of the office and central business administration function. This is a varied and hands-on role, ideal for a highly organised and proactive professional who is confident managing office operations, business systems, facilities and administrative processes.

Key Responsibilities

  • Manage the day-to-day operation of the Gloucester office, including facilities, maintenance, security, suppliers and office services.
  • Coordinate office health and safety administration, including fire safety, First Aid, PAT testing and workplace inspections.
  • Manage the company vehicle fleet, including servicing, MOTs, insurance, repairs and compliance.
  • Oversee company assets including IT equipment, phones, PPE and workwear, ensuring appropriate records and controls are maintained.
  • Coordinate company training and competency requirements, maintaining training matrices, records and expiry dates.
  • Arrange training and renewals with managers and training providers, ensuring certification records are kept up to date.
  • Coordinate the administrative onboarding and offboarding of employees, including IT equipment, system access, PPE, vehicles and office access.
  • Act as the primary administrator and internal owner of Replicon, managing users, permissions, workflows and system administration.
  • Oversee timesheet submission and approval compliance and support employees and managers with system queries.
  • Manage and support the Office Administrator, setting priorities and ensuring key administrative activities are completed to an appropriate standard.
  • Review and improve administrative processes, systems and controls across the business.

About You

  • Previous experience in office management, business administration or a similar role.
  • Experience managing or supervising others.
  • Excellent organisational and time-management skills.
  • Strong attention to detail and problem-solving ability.
  • Confident managing business systems, records and processes.
  • Good Microsoft 365 skills.
  • Strong communication and stakeholder-management skills.
  • Proactive, dependable and comfortable taking ownership.
  • Able to work independently, use initiative and manage changing priorities.

Experience within construction, engineering, utilities or another project-based environment would be advantageous but is not essential.
