Part-Time Executive Assistant / Office Manager

Location: Manchester City Centre, near St Peter’s Square

Hours: 18 hours per week

Salary: Up to £45,000 pro rata

About the Opportunity

We’re working with a growing specialist executive search business operating within the speciality chemicals and ingredients sector. They’re looking for a proactive, highly organised Part-Time Executive Assistant / Office Manager to work closely with the Founder, providing high-level executive support while taking ownership of the day-to-day running of the business.

This is a varied role combining traditional EA responsibilities with office management, business administration and process improvement. It would suit someone who enjoys being the person who keeps everything organised, spots what could work better and takes the initiative to make improvements. The business is growing, so there is plenty of opportunity to help shape how things are done, introduce better systems and processes, and gradually take on greater operational responsibility as the company develops.

The Role

Working directly with the Founder, your responsibilities will include:

Executive Support

  • Managing a busy diary, arranging meetings and coordinating appointments.
  • Organising UK and international travel, preparing itineraries and handling logistics.
  • Managing correspondence, preparing documents and ensuring important actions are followed up.
  • Anticipating the Founder’s needs and proactively managing competing priorities.

Office & Business Operations

  • Taking ownership of the day-to-day running of the office and general business administration.
  • Managing relationships with suppliers and external service providers.
  • Supporting invoicing, expenses, payments and financial administration.
  • Keeping business documentation, records and internal processes organised.
  • Supporting recruitment administration, including preparing job descriptions and coordinating new starter checklists and onboarding.
  • Ensuring the office and business run smoothly, with the right systems and processes in place.

Process Improvement & Automation

  • Reviewing existing ways of working and identifying opportunities to improve efficiency.
  • Finding practical ways to simplify processes, reduce repetitive administration and improve organisation.
  • Using technology, digital tools and AI where appropriate to automate tasks and streamline workflows.
  • Taking ownership of improvements from identifying an issue through to implementing a solution.
  • Helping develop regular reporting and operational processes as the business grows.

Wider Business Support

  • Supporting projects and ad hoc business priorities as required.
  • Working closely with the Founder to identify what needs attention and take responsibility for getting things done.
  • Gradually taking on broader operational responsibilities as the business develops.

About You

We’re looking for someone who is proactive, resourceful and comfortable taking ownership. You won’t simply wait to be told what to do. You’ll naturally ask, “Is there a better way we could do this?” and have the confidence to suggest and implement improvements.

You’ll ideally have:

  • Experience as an Executive Assistant, Personal Assistant, Office Manager or in a role combining these responsibilities.
  • Experience supporting a Founder, CEO, MD or other senior leader.
  • A strong understanding of office administration and wider business operations.
  • Experience managing suppliers, invoices, expenses or other operational responsibilities.
  • A track record of improving processes, introducing systems or finding more efficient ways of working.
  • Confidence using technology and an interest in AI and automation.
  • Excellent organisation, communication and prioritisation skills.
  • The ability to work independently, use initiative and handle confidential information with discretion.
  • A flexible, hands-on approach and the confidence to work in a growing business where priorities can change.

Experience in a smaller business or start-up environment would be particularly useful, as would experience with recruitment administration, job descriptions and onboarding.

Working Pattern & Benefits

  • Salary: Up to £45,000 pro rata.
  • Hours: 18 hours per week, ideally 10am–2.30pm Monday, Tuesday, Thursday and Friday.
  • Location: A lovely Manchester city centre office near St Peter’s Square.
  • Flexible working hours to accommodate family commitments.
