The Role

This is a front-of-house and leadership support role, keeping our London office running beautifully. You will own the day-to-day running of the office and the experience of everyone who walks through the door, arrange travel & provide additional support for the CEO and Executive Leadership Team and help to plan company events that keep our culture strong as we grow.

Main Responsibilities

Office Management

  • Create a welcoming environment at the front desk
  • Make a memorable impression on external guests by showcasing our professional and open culture, anticipating and preparing for guests including preparing meeting rooms, and organising breakfasts and lunches
  • Manage the office efficiently by: implementing and operating effective systems; selecting and overseeing suppliers for consumables and services; managing the front desk; keeping the kitchen well stocked and presentable
  • Keep the office organised, clean, and tidy; liaising with service providers and staying on top of maintenance needs
  • Work with the rest of the team to coordinate meeting room bookings and office arrangements, so everyone’s needs are met

CEO & ELT Support

  • Support the EA & Enterprise Engagement Executive in handling the CEO’s appointments and communications
  • Make seamless travel arrangements for ELT, CEO and the wider team as required, securing the best value and keeping itineraries clear and up to date

Team Experience & Engagement

  • Assist with planning, organising and driving impact of company and team events to foster collaboration and maintain our culture, including monthly company meetings, socials and away days.
  • Communicate company-wide about events and office happenings
  • Assist in work experience programme coordination

Continuous Improvement and Technology

  • Always look for more efficient and effective ways to do things, including using AI (artificial intelligence) and automations

Person Specification

Required Skills and Experience

  • Strong professional presence and confidence engaging with senior stakeholders and external guests
  • Proven ability to juggle multiple priorities at once, including office logistics, travel booking and event coordination
  • Calm, organised and proactive under pressure, with strong attention to detail
  • Discreet and trustworthy, comfortable handling sensitive and confidential information
  • Enjoys being office-based full time and keeping things running smoothly day to day
  • Clear, professional written communication with excellent attention to detail, including company-wide updates and announcements
  • Strong Microsoft Office skills and confidence learning new tools, including AI and automation and Salesforce

Nice to haves

  • Previous experience in office management, hospitality or another guest-facing role
  • Experience booking travel for senior leaders or teams, including managing complex itineraries
  • Event support or client hosting experience, with a focus on guest experience and great service
  • Interest in workplace culture and finding better ways to run an office as a team grows

  • The CEO and ELT are proactively supported in ways that genuinely make their lives easier, freeing them up to focus on what matters most
  • Company events and announcements land well and help keep the culture strong as the team grows
  • Support is delivered efficiently, with a constant eye on finding smarter ways of working — using technology and automation to reduce manual effort wherever possible
  • Inefficiencies in office processes are spotted and fixed before they become a drag on the team, rather than waiting to be asked
  • The office runs within budget, with spend on supplies, services and events tracked and reported clearly
  • People come to this role with problems and leave with solutions — a calm, can-do presence the wider team can rely on
