Purpose
To manage the day-to-day running of the London office, ensuring a professional, organised and welcoming environment while providing effective administrative and business support to the wider team.
Key Accountabilities
Office & Facilities
- Manage the day-to-day operation and presentation of the office.
- Liaise with the landlord and suppliers regarding cleaning, catering, security and maintenance.
- Manage office supplies, equipment, stock and meeting rooms.
- Coordinate repairs, maintenance and contractors.
- Manage uniform ordering, distribution, stock and recycling.
Administration & Business Support
- Act as the main point of contact for office enquiries, visitors and calls.
- Provide administrative support to the Management Team.
- Coordinate meetings, travel, accommodation, post and couriers.
- Maintain office records, databases and filing systems.
- Prepare reports and meeting minutes where required.
- Handle correspondence and confidential information appropriately.

People & Recruitment
- Support recruitment, candidate shortlisting and first-stage interviews.
- Coordinate new starter onboarding and inductions.
- Ensure new starters have the required equipment, access and uniform.
- Support internal communications and staff initiatives.
Events & Compliance
- Support the organisation of company events, meetings and conferences.
- Coordinate hospitality and catering.
- Support CSR and sustainability initiatives, including ISO 14001.
- Assist with Health & Safety, risk assessments, GDPR and office compliance.
Front of House & Communications
- Support Reception/FOH operations and training when required.
- Maintain high standards of customer service for visitors and staff.
- Provide administrative support for company social media and communications.
General
- Identify opportunities to improve office processes and efficiency.
- Work collaboratively with the Management Team.
- Take ownership of tasks and maintain a proactive approach.
- Undertake other reasonable office management duties as required.

- Previous office management or administration experience.
- Excellent organisational and time-management skills.
- Strong attention to detail.
- Excellent communication and interpersonal skills.
- Confident using Microsoft Office and administrative systems.
- Ability to prioritise and manage multiple tasks.
- Professional, approachable and customer-focused.
- Proactive, reliable and able to work independently.
- Ability to handle confidential information with discretion.
