Office Manager

RefTech is a multi-award-winning event technology company specialising in event registration, badging and onsite solutions. With over 6,000 projects delivered across 40+ countries, we help organisations create seamless experiences for their attendees.

As we continue to grow, we are looking for an organised, proactive and detail-focused Office Manager to join our team and become a key part of our continued success.

About the Role

This is a varied and important role that sits at the heart of our business, providing essential support across office administration, HR, compliance, reporting and business operations.

Working closely with the Directors and wider team, you will help ensure the business remains organised, compliant and well supported as we continue to grow.

You will be someone who enjoys variety, takes ownership of tasks and is comfortable working across different areas of the business. From maintaining key records and supporting HR processes, to preparing reports and helping improve internal ways of working, this role offers the opportunity to make a real impact.

Key Responsibilities

Business & Office Support

  • Coordinate key internal business activities and administrative processes.
  • Maintain accurate company records, documentation and renewal schedules.
  • Manage company subscriptions, licences, suppliers and service agreements.
  • Maintain records relating to contracts, business services and key dates.
  • Support improvements to internal processes and ways of working.
  • Liaise with suppliers and external providers where required.

HR Administration

  • Maintain employee records and HR documentation.
  • Support onboarding and offboarding processes.
  • Coordinate annual leave, absence records and general employee administration.
  • Support recruitment activities, including interview coordination and candidate communication.
  • Maintain training records and support employee development activities.
  • Liaise with external HR providers where required.

Compliance & Health & Safety

  • Maintain compliance records and documentation.
  • Support GDPR, ISO and other business compliance activities.
  • Assist with policy reviews and document control.
  • Maintain Health & Safety records, risk assessments and related documentation.
  • Support training, inspections and ongoing compliance activities.

Reporting & Director Support

  • Produce regular business reports and management information.
  • Support KPI reporting and data analysis.
  • Prepare meeting documentation, reports and presentations.
  • Coordinate meetings, appointments and business travel arrangements.
  • Support business projects and strategic initiatives.

About You

We are looking for someone who is highly organised, reliable and proactive. You will enjoy being involved in a wide range of activities and will be comfortable managing your own workload while working closely with colleagues across the business.

You will have:

  • Previous experience in business administration, office management, business support or a similar role.
  • Excellent organisational skills and strong attention to detail.
  • The ability to manage multiple priorities and deadlines.
  • Strong written and verbal communication skills.
  • The ability to handle confidential information professionally and discreetly.
  • Confidence using Microsoft Office applications, including Word, Excel and Outlook.
  • A proactive approach with the ability to work independently.

Desirable Experience

It would be beneficial if you have experience with:

  • HR administration within an SME environment.
  • GDPR and data protection requirements.
  • Compliance documentation and business processes.
  • Reporting and analysing business information.
  • ISO standards or quality management systems.
  • Health & Safety administration.
  • Supplier, contract or business service management.
