Fixed-Term Maternity Cover | Approximately September 2026 – July 2027

£20,000 – £25,000 per annum, depending on experience

Monday to Friday | Approximately 9:00am – 3:00pm

Driving: Full UK driving licence and access to a vehicle essential

About The Role

Guildprime Specialist Contracts Ltd is a growing specialist contractor delivering high-end fit-out and refurbishment projects across the UK.

We are looking for an organised, reliable, and personable Office Manager to join our team on a fixed-term maternity cover basis.

This could be an ideal opportunity for someone looking for a family-friendly role with a shorter working day, while still wanting to use their office management and administration experience in a busy and professional environment.

We understand that everyone's circumstances are different, so we are happy to discuss flexible start and finish times around school or childcare commitments, provided the needs of the business are met.

Key Responsibilities

  • Oversee the smooth day-to-day running of the office.
  • Welcome visitors and answer incoming calls and emails.
  • Manage incoming and outgoing post and deliveries.
  • Maintain office supplies, stationery, and kitchen stock.
  • Coordinate meeting rooms, diaries, and shared calendars.
  • Arrange travel, accommodation, and meetings when required.
  • Manage office facilities, maintenance, and repairs.
  • Coordinate new starter inductions and onboarding.
  • Maintain employee records and assist with HR administration.
  • Help organise staff events, company socials, and seasonal celebrations.
  • Provide administrative support to the Directors and project teams.
  • Compile O&M Manuals and maintain document control via Procore (training provided).
  • Record monthly utility meter readings.
  • Organise contractor visits and cleaning cover when required.

Essential Skills & Experience

  • Previous experience as an Office Manager, Office Administrator, or in a similar administrative role.
  • Excellent organisational and time management skills.
  • Strong communication skills with a professional and friendly manner.
  • Ability to prioritise multiple tasks in a busy environment.
  • Good working knowledge of Microsoft Office.
  • Ability to work independently and use initiative.

What We Offer

  • £20,000 – £25,000 per annum, depending on experience.
  • Monday to Friday working pattern.
  • Approximately 9:00am – 3:00pm, with flexibility around start and finish times where possible.
  • Family-friendly and flexible approach to working hours.
  • 28 days' annual leave, inclusive of bank holidays, pro rata.
  • Christmas office shutdown.
  • Annual summer and Christmas company events.
  • Full handover and training before maternity leave begins.

  • Convenient office location in Billericay, Essex.

Working Hours

The usual working pattern will be Monday to Friday, approximately 9:00am – 3:00pm.

We understand that school and childcare commitments can make traditional working hours difficult, so flexible start and finish times can be considered for the right candidate. For example, an earlier start and earlier finish, or a slightly later start and finish, may be possible depending on the candidate's circumstances and the needs of the business.

Please note: Due to the location of our office and limited public transport links, access to a vehicle is essential for this role.
