Office Manager
Location: Leeds, Office
Employment type: Part-time, 3 days a week, 7.5hrs per day 09:00 - 16:30, Monday, Wednesday, Friday

We’re looking for an organised, proactive, and personable Office Manager to help keep our business running smoothly and support our team as we continue to grow.
The Role
As Office Manager, you’ll be at the heart of the day-to-day running of Impact Immersive. You’ll oversee office operations, support the team and facilities, and help ensure our people have everything they need to do their best work.
This is a varied, hands-on role for someone who enjoys bringing structure to a busy creative environment. You’ll work closely with the leadership team, project managers, and wider team to keep administrative, operational, and people-related tasks organised and moving forward.
Key Responsibilities
Office & Facilities Management
- Oversee the smooth day-to-day running of the office and studio.
- Manage office supplies, equipment, furniture, and facilities.
- Coordinate maintenance, repairs, cleaning, and building-related requirements.
- Ensure the office is organised, welcoming, and fit for purpose.
- Support health and safety, workplace compliance, and office procedures.
- Manage office access, keys, visitors, and general security arrangements.
Administration & Operations
- Provide day-to-day administrative support to the leadership and wider team.
- Coordinate travel, accommodation, and logistics for team members and visitors.
- Maintain accurate records, documents, and company information.
- Support onboarding and offboarding processes for employees and freelancers.
- Assist with company policies, procedures, and internal communications.
- Help improve systems and processes to make the business more efficient.

Finance & Supplier Support
- Support invoice processing, purchase orders, and expense administration.
- Liaise with suppliers and service providers to ensure invoices and payments are handled efficiently.
- Maintain supplier records and support procurement of office and operational requirements.
- Assist with basic financial administration and reporting.
- Work with the leadership team and finance support to ensure accurate records are maintained.
Team Support
- Act as a friendly and approachable first point of contact for office-related queries.
- Help create a positive, collaborative, and well organised working environment.
- Support team meetings, company events, and staff initiatives.
- Assist with recruitment administration and coordinating interviews where required.
- Help ensure new starters have the equipment, access, and information they need.
- Support the wider team with ad hoc administrative and operational tasks.
About You
You’re an organised, practical, and people focused individual who enjoys making things happen behind the scenes. You’re confident managing multiple priorities, comfortable working independently, and able to bring structure to a fast paced creative environment.

Essential Experience
- Previous experience in an office management, operations, administration, or similar role.
- Strong organisational and time-management skills.
- Experience coordinating suppliers, facilities, or office services.
- Excellent written and verbal communication skills.
- Good working knowledge of Google Workspace.
- Ability to manage confidential information with discretion.
- A proactive approach and strong attention to detail.
Desirable Experience
- Experience working in a creative agency, production company, events business, or technology environment.
- Experience supporting a growing business or small-to-medium-sized team.
- Familiarity with accounting software, HR systems, or project management tools.
- Experience supporting recruitment, onboarding, or team events.
- An interest in immersive experiences, creative technology, or the work Impact Immersive delivers.

Salary: £26,500 pro-rata
Bonus: £1,000 per annum
Holiday Allowance: 18 days per annum, plus bank holidays
Personal Development: £500.00 per annum training and development allowance
