Main Duties and Responsibilities for the Office Manager:

  • Answering calls and emails from customers and clients and directing them to relevant staff.
  • Document control, including updating, maintaining hard and soft copy files of both – projects and company documents.
  • Creating an office budget and inventory for office suppliers.
  • Monitoring/asset management: office supplies, including ordering stationery, furniture, electronic appliances, PPE, access control (keys, cards), IT equipment etc.
  • Organizing travel arrangements for team members.
  • Liaising with office landlord to ensure the office is kept clean, safe and compliant and ensuring all appliances are in good working order.
  • Managing on-site and office cleaning company.
  • Providing general support to visitors.
  • Managing relationship with vendors, services providers, and landlord to ensure all invoices are paid on time.
  • Managing receipts/invoices/delivery dockets and sending them back to the head office.
  • Managing accommodation for TSL personnel and making sure that all invoices are paid on time.
  • Managing meeting room booking.
  • Supporting the organisation of TSL events.
  • Managing administration associated with the fleet (car service, invoices, required repairs, etc.)
  • Coordinating work with core business support services (IT, HR, Safety, Communications).
  • Updating POR tracker, in cooperation with the Financial Controller
