ABOUT THE ROLE
The Office Manager supports the day-to-day management of our Manchester and Macclesfield offices, working with building management and internal stakeholders to ensure a safe, organised and welcoming environment for our people, clients and visitors.
This is a hands-on role focused on facilities support, supplier liaison and general office administration. The role follows established processes and works closely with the People Team and building management to ensure operational matters are addressed promptly and effectively.
This is a six-month fixed-term position requiring 15 hours of office-based work per week, spread across Tuesday, Wednesday and Thursday in our Macclesfield office. Travel to our Manchester office will also be required at least twice per month.
KEY RESPONSIBILITIES
Responsibilities in this role include, but are not limited to:
- Office Support
- Ensure all office facilities—including stationery, desks, chairs, kitchens, catering facilities and meeting rooms—are clean, in place and in good working order, enabling colleagues to conduct their day-to-day work safely, smoothly and effectively.
- Purchase day-to-day items needed for the offices using the company credit card.
- Act as the day-to-day liaison with building management, maintenance and security teams to support the smooth running of our North West offices, escalating service issues or concerns to the Head of People Partnering as required.
- Work with the Head of People Partnering and building management to coordinate office interior and space-planning changes, ensuring optimised working spaces and effective workspace solutions.
- Manage day-to-day interactions with third-party office service providers and suppliers, escalating service issues or concerns to the Head of People Partnering as required.
- Support event owners with the planning and coordination of occasional office events, including large team days and client events.
- Work collaboratively with IT, Legal and Finance colleagues on matters relating to office management and the workplace experience.
- Support the planning and delivery of key events, including our annual winter social, as required.
- Complete office administration tasks, including scanning and distributing post to relevant stakeholders and sending appropriate invoices to the Head of People Partnering for approval.
- Ensure new joiners in the North West offices receive a thorough office induction, including an office tour and access arrangements.
- Manage office-access processes, including guest passes and access changes.

- Health and Safety
- Ensure established processes are followed so that the North West offices remain safe and compliant working environments.
- Act as the first point of contact for facilities adjustments required to accommodate individual needs in the North West offices, including specialist chairs and desks.
- Review reports arising from online display screen equipment (DSE) assessments and follow up on any related issues.
- Ensure first-aid equipment is available and maintained, and that the required number of trained First Aiders are in place and available.
- Coordinate fire-safety and emergency procedures, including ensuring trained Fire Wardens are in place and available.
- Coordinate regular risk assessments and audits, proactively addressing issues to maintain a safe and healthy working environment.
- Partner with internal stakeholders to promote wellbeing and workplace-safety best practice.
- Maintain health and safety records and documentation as directed.

- Proven experience in office or facilities management.
- Experience implementing and maintaining safe workplace practices.
- Strong organisational skills, adaptability and the ability to anticipate needs before they arise.
- A strong operational mindset and exceptional attention to detail.
- Confidence in liaising with suppliers and managing competing priorities.
- A calm, proactive and solutions-focused approach, with the ability to thrive in a hands-on role.
- Excellent interpersonal skills, with the ability to build trusted relationships across the business.
- Confidence working closely with senior leaders and supporting high-profile meetings and visitors.
- A genuine passion for creating environments in which people feel supported, connected and inspired.
