Office Manager

Poole, Dorset | £42,000 DOE | Full-Time, Permanent | Monday–Friday, 8:30am–5:30pm

TeamJobs are working with an established and growing product-based business in Poole who are looking for an experienced Office Manager to take ownership of the day-to-day running of their busy sales office.

This is a key operational role managing a team of six and ensuring everything behind the sales function runs smoothly – from order accuracy and pricing through to systems, reporting, customer service and internal processes.

We're looking for someone who is naturally organised, commercially aware and exceptionally detail-focused. You'll be comfortable managing people, challenging mistakes and ensuring processes are followed in a fast-moving B2B environment.

The Role

As Office Manager, you will be responsible for:

  • Managing and coordinating the day-to-day workload of a six-person sales team.
  • Overseeing the full sales order process from enquiry and quotation through to order, despatch and invoicing.
  • Ensuring orders are accurately processed through Sage 200.
  • Checking quotations, pricing and orders before release.
  • Maintaining pricing structures, customer-specific pricing and discount controls.
  • Monitoring margins and identifying orders falling below agreed levels.
  • Running short daily team meetings to identify order, stock and delivery issues.
  • Managing holiday, absence and telephone/enquiry cover across the team.
  • Maintaining high standards of customer service across telephone and email communication.
  • Acting as the first escalation point for customer complaints, delivery issues and disputed invoices.
  • Maintaining accurate customer and sales data across Sage 200 and HubSpot CRM.
  • Producing weekly and monthly reports covering sales, margins, errors, credits, conversion rates and response times.
  • Identifying opportunities to improve processes, systems and workflows.
  • Maintaining process documentation and ensuring procedures are consistently followed.
  • Supporting office-based health & safety requirements.
  • Supporting local HR administration including probation reviews, appraisals and documented performance conversations.

What We're Looking For

To be successful in this role, you'll ideally have:

  • Previous experience managing or coordinating a sales office, internal sales team or order-processing function.
  • Experience within a product-based B2B environment, such as manufacturing, distribution, wholesale or trade supply.
  • Strong experience with an ERP/order-processing system such as Sage 200.
  • Experience managing pricing, discounts and margins.
  • Previous responsibility for maintaining accurate systems and data.
  • The confidence to hold a team accountable for accuracy and process.
  • Strong organisational skills with the ability to manage multiple priorities and interruptions.
  • Excellent written and verbal communication skills.
  • Intermediate Excel skills, including lookups and pivot tables.
  • A calm and professional approach when handling customer escalations.
  • Experience using HubSpot or another CRM system would be beneficial.

You'll be someone who spots the incorrect figure, wrong product code or pricing discrepancy before it becomes a problem.

You'll enjoy bringing structure to a busy environment, improving processes and making sure things are done properly rather than repeatedly firefighting the same issues.

You'll also be confident enough to challenge when necessary, while remaining approachable and supportive to the team.

Salary:

Circa £42,000 per annum, depending on experience

Location:

Poole, Dorset – office based

Hours:

Monday–Friday, 8:30am–5:30pm

Contract:

Permanent, full-time
