Office Manager

We are looking for a motivated and organised Office Manager to join our team, supporting the delivery of a major infrastructure project. This is an exciting opportunity to play a key role in establishing and managing a busy site office environment, ensuring operational, administrative, and compliance activities run efficiently throughout the project lifecycle.

Working closely with site teams and wider business functions, you will help create an effective and well-organised workplace, providing essential support to project delivery. This role offers the opportunity to be involved from the early contractor involvement stage through to site operations, contributing to the success of a significant long-term infrastructure scheme.

Role Responsibilities

  • Manage the day-to-day operations of the site office, ensuring an efficient and professional working environment.
  • Provide administrative support to site management and project teams.
  • Maintain accurate project records, documentation, and filing systems.
  • Coordinate office supplies, equipment, and facilities requirements.
  • Issue, track, and maintain records relating to personal protective equipment (PPE).
  • Support site teams with operational, compliance, and reporting requirements.
  • Assist with onboarding activities and the coordination of site visitors, meetings, and inductions.
  • Manage incoming and outgoing correspondence, including emails, telephone calls, and mail.
  • Ensure documentation is maintained in accordance with company procedures and project requirements.
  • Support the preparation and distribution of reports, meeting minutes, and project information.
  • Consult with internal departments, suppliers, and external stakeholders as required.
  • Promote exacting standards of organisation, professionalism, and confidentiality always.

Skills, Experience And Qualifications

  • Experience in an Office Manager, Office Administrator, or similar administrative role.
  • Previous experience within the construction, engineering, or infrastructure sector is advantageous.
  • Strong organisational skills with the ability to manage multiple tasks and priorities.
  • Excellent diligence and record-keeping abilities.
  • Proficiency in Microsoft Office applications, including Word, Excel, and Outlook.
  • Experience using project, finance, or document management systems is advantageous.
  • Experience with COINS software is desirable but not essential, as training can be provided.
  • Effective communication and people skills with the ability to build effective working relationships.
  • Ability to work independently and use initiative in a fast-paced project environment.
  • Professional approach with a commitment to accuracy, efficiency, and confidentiality.
  • Strong administrative, planning, and coordination skills.
