Role Overview
Little Emperors is looking for a highly organised, discreet and proactive Office Manager & Personal Assistant to support our Founder, Rebecca Masri MBE, and keep our London office running smoothly day to day. This is a hybrid role combining office management, front-of-house, HR administration and executive PA support, ideal for someone who thrives on variety, takes ownership of the details and is comfortable moving between business priorities, office operations and the Founder's personal admin with equal care.
Main Duties & Responsibilities
Founder support
- Manage the Founder's calendar on a daily basis, scheduling meetings, checking the week ahead and flagging any diary clashes
- Assist with travel arrangements for the Founder, track loyalty programs and flight reimbursements.
- Support the Founder with any and all business and personal administrative matters.
Office management
- Support general office upkeep, ensuring communal areas are clean and presentable
- Monitor and replenish kitchen supplies, refreshments and consumables in tandem with Office Assistant
- Maintain office equipment and associated consumables.
- Oversee office cleaning arrangements
- Manage office supplies, stationery and equipment, placing orders as required
- Liaise with suppliers, landlord and utility providers on services
- Manage incoming deliveries and post

HR & people administration
- Keep Bright HR up to date, including approving Head of Department holiday requests, monitoring leave balances, logging work-from-home (WFH) days and liaising with line managers on staff absence
- Support HR administration such as new starter and leaver paperwork (including payroll forms), probation tracking, contractor agreements and policy queries
- Coordinate onboarding for new team members, including setting up email and system access (Bright HR, Notion, CRM, staff directory, team page, org chart, email groups), issuing equipment (laptop/phone) and ordering business cards
- Manage and track the issuing of lockers, fobs and equipment, and maintain the laptop/company device asset list
- Support recruitment coordination, including circulating candidate CVs and helping schedule interviews

Company culture & relationships
- Manage the company gifting programme, including staff birthday flowers/gifts and flowers/chocolates for hotel partners
- Help organise team events such as Annual Team Retreat and HR Training Sessions
Requirements
- Previous experience in an Office Manager, PA, EA or similar administrative/office coordination role
- Excellent organisational skills with the ability to manage multiple priorities and deadlines
- High level of discretion and trustworthiness when handling sensitive business and personal information
- Confident using HR platforms (Bright HR or similar), CRM systems and standard Microsoft
- Strong written and verbal communication skills, and a warm, professional manner
- A proactive, hands-on approach and comfortable working across business operations, office facilities and personal support
- A calm, friendly and professional manner, in keeping with the Little Emperors brand
